New Form: Email with Graphics

We have a new form named Email with Graphics which is a form that combines the user’s uploaded files for the Header and the Footer and a custom Body of Letter in between.  So, if a customer wants to send emails that include their Header.jpg file and a Footer.jpg file along with a Body of Letter they can now do it.

Since users will be uploading the Header.jpg and Footer.jpg files to their company’s Images folder, they must purchase the Images option to use this form.

 

Frequently Asked Questions

Does it cost extra to use this new feature?

No.  If you already have the Images (or Large Images) option there is no cost to use the new Email with Graphics Form.  If you don’t have the Images option you may purchase it by contacting info@prosws.com.  More information about the Images option is at http://rs.prosws.com/products_Images.html

 

Can I change the Header.jpg or Footer.jpg images?

Yes.  You may add or delete image files as often as you like.

Do I have to name the image files “Header.jpg” and “Footer.jpg”?

Yes.  The form is looking for files with those names in your company’s Images folder.

Does it matter which Referrals table record I use to upload my Header and Footer images?

No.  You’ll select any Referrals table record, click the Images button and upload the file(s).  The point is to get the file(s) into your company’s Images folder.  Once there the file(s) may be used with any email.

Is there a Training Video available for this new feature?

Yes.  From the Main Menu click ‘Training Videos’, select the link for ‘Building and Using the Email with Graphics form.

Can I view a sample Email with Graphics?

Yes.  Login using DEMO/DEMO for the ID/Password, click Referrals, Forms, click ‘Lookup the Body of Letter’, select one, click ‘Return to Forms list’, browse to ‘Email with Graphics’ and click it.

 

Quick Email to Agent? Popular forms gets even better!

The Email To Agent form has been a popular way to get a quick email to the agent from Relocation Specialist since not only does the email automatically populate the email address for the agent, but after sending the email, the contents are inserted into the Notes table for that record. 

Now, the Subject field defaults to the ‘Client First Name’ and ‘Client Last Name’ (ie. “RE: John Jones”).  So, now when sending that quick email you won’t need to type the client name into the Subject line.  The same is true for the ‘Email To Contact’ and the ‘Email to Referring Agent’ forms.

Household Goods

The Household Goods form has been updated to include the fields from the HHG page.  Now all the details from the HHG page along with other details from the Referrals table records are included.

Can I create my own custom form?

Yes.  When you open the Forms link you will see a column titled “Is Body of Letter used?”  Any form with a blue check-mark next to in that column allows you to type your own custom letter to be sent out as that form.

The easiest and quickest way to create a Body of Letter is to follow these steps:

  1. Open the Forms Link
  2. Open the Look Up Body Of Letter link located in the upper-left-hand corner
  3. Click the RED ADD new button
  4. Now type your letter in MS Word
  5. When you are done click Save As and select Web Page
  6. Now open that document and COPY and PASTE the contents into the Body of Letter page
  7. Click the ADD NEW RECORD button at the bottom of the screen

You have created the contents of your custom form.

Now you can set up an ActionPlan or a ToDo that uses that Body Of Letter and send it off to your desired audience.

***Note:  The reason we use MS word is because there is some HTML code involved.  If you do not save the contents into web form 1st and just paste the contents into the Body Of Letter, the letter will not appear as you want it to.

Why Are My Agents Are Not Getting My Forms?

Do your Agents complain that they are not getting the forms/Update Requests you are sending from ReloSpec?
 
The most obvious solution to this issue is that your Agent is working from a PC that has a firewall running on their server.  All servers need to be set to ACCEPT/ALLOW emails from the following address:   rs.prosws.com
