ReloSpec Tip: Agent updates

Occasionally we offer ‘ReloSpec Tips’ to help you use features you may not be familiar with.  Today we’re looking at the AGENTS page.

Ever make changes to an agent’s record in the AGENTS page such as Phone or Email, then realize those changes also need to be made in the Referrals table and the related Tasks?  There is an easy way to do that!

Open the AGENTS page using the ‘Other Options’ droplist.  Click the pencil, make your changes and click the button that now appears and is labeled “Refresh (Update) the Tasks & Referrals…”.  The button only appears after you click UPDATE CURRENT RECORD.

After clicking the button, ReloSpec will display the total number of records and fields updated with the agent information.  Now, the info in the Tasks and the Referrals tables will match what you have in the Agents table.

 

Updated DOWNLOAD and Custom Financial Report

Over the last few weeks we have been responding to requests to make it easier to filter records used when using the DOWNLOAD button and when using the ‘Custom Financial Report’.

Want to get a fast, simple report?  Perhaps you want to drop the records you find into an Excel spreadsheet?  It’s as easy as 1, 2, 3.

  1. You always start with using the SEARCH button in the Client List page to filter the records.
  2. Click the DOWNLOAD button to open the field selection page where you can select which fields you want included.
  3. Click the DOWNLOAD button on the field selection page to insert the results into a spreadsheet.

If you were to start with clicking REPORTS, and select the ‘Custom Financial Report’ the process is the same.  Opening the report will take you to the field selection page.  If you have already used the SEARCH button in the Client List page to select the records, you’re set to DOWNLOAD.  If not, just return to the Client List page and follow the 3 easy steps shown above.

You may think of the DOWNLOAD button on the Client List page as a shortcut to the ‘Custom Financial Report’ since they now work the same way.

In addition, we have expanded the number of date fields used in the SEARCH page and included ‘Range’ links that allow you to use a pop-up calendar to select your Begin and End dates.  Here is what it now looks like:

All the date fields are located in the upper-right of the page.

The Field Selection page now includes Search results at the top (number of records found), updated instructions for saving the field list selected and the ability to generate the report that may be downloaded.

After searching for the records and selecting the fields, click DOWNLOAD on the Field Selection page to view the results:

Notice that this page will display just the first 25 of however many records were selected.  This is so we can display a sample report rapidly.  When you click the DOWNLOAD button to put the records into a spreadsheet, ALL the records will be included.

 

 

Update on ReloSpec Emails

As we stated in the April 5th blog we are in the process of upgrading our ReloSpec email services.  Now that the groundwork is complete we are applying the upgrade to the first set of email pages which include those generated by clicking the envelope icons on the Client List page. This week we’ll begin applying the changes to the popular ReloSpec forms including AutoPilot, AutoUpdate, AutoAssign, Referral Submit and others.

All upgraded emails will include your Company Name which will be inserted in front of the FROM: email address which is notify@relosoftware.com.  That way your recipients will know who it is coming from.  For example, if the email is coming from Susie at ABC Realty the FROM: will have “ABC Realty <notify@relosoftware.com>”.   What will display in the Inbox is just “ABC Realty”.

In ALL cases when the recipient clicks REPLY, the sender’s exact email address will be inserted automatically.  So, even though the FROM: is “ABC Realty <notify@relosoftware.com>”, when the person clicks REPLY: the TO: field will have something like “Susie@ABCRealty.com” -just as it has always worked.

Since we’ll be inserting the Company Name in the FROM: field, some may want to shorten what will appear.  This is not required, but is suggested.  For those customers affiliated with Berkshire Hathaway HomeServices [My Company Name] this may be especially true.  Changes may be made in the SETTINGS, USERS table.

Remember that you may also add language to the SUBJECT line, such as “Hello from Susie at ABC Realty”.  That may help if you want your email recipients to have additional info.

IMPORTANT: For now, DO NOT include more than one email address at a time in the same field.  You may have one email address in the TO: field and one email address in the CC: field and one in the BCC: field, but for now having more than one in any of the fields will prevent the email from being delivered.  This will change in the next couple weeks, but for now just include one email address in each field.

Pre-recorded Checkup Webinar is Available

3 Helpful Hints

Here are three things that you may not know that will make it easier to login, better looking and help people respond to you!  (And who wouldn’t want to be better looking and noticed more?!)

 

Easier to login

By now, everyone should know the easiest way to login to ReloSpec is to go to MyReloSpec.com.  But, did you know you can add your ID and Password to the link?  With 1-click you can open ReloSpec AND be logged in!  To create a shortcut on your PC’s desktop, login to ReloSpec then right-click and click on ‘Create Shortcut’.  You’ll be asked if you want to create the shortcut to the ReloSpec page.  Click YES and the shortcut will be created.

Right-click the shortcut and at the end of what’s in the URL add:

?userid=DEMO&password=DEMOPASSWORD then click OK.  The URL will now read: https://www.relospeccloud.com/RELOSPEC/SQL/MAINMENU.ASP?userid=DEMO&password=DEMOPASSWORD

NOTE:  Replace “DEMO” with your actual ID and replace “DEMOPASSWORD” with your actual Password.  Now when you click the shortcut it will open ReloSpec and log you in automatically.

If you’re manually entering the shortcut, here’s a shorter way to do it.  Save the URL as MyReloSpec.com?userid=DEMO&password=DEMOPASSWORD   That works too!

 

Change your THEME

Are you tired of looking at the same old background colors and icons?  Why not change things up?  Those items are known as the ‘Color Theme’ and may be changed at any time by you.  From the Main Menu page click SETTINGS, USERS, click the pencil for your name and from the Color Theme droplist select the theme you want to use.  To view samples of the themes click the ‘View Choices’ button below the label.  Hint: the standard Color Theme for ReloSpec is “Ultra”.

 

Change/Update your Email Signature

Many of the ReloSpec FORMS use what is known as the Email Signature at the bottom of the outgoing email.  If you don’t have your Email Signature created or if it hasn’t been updated lately, you should check on it.  From the Main Menu, click SETTINGS, USERS and look in the Email Signature field about halfway down the right column.  Make changes as needed, or if it is blank, use the ‘Auto-Create’ button to have ReloSpec create the Email Signature for you, then click UPDATE CURRENT RECORD.

New Report: Scorecard – Opportunities by Agent

We’re very excited about a new report that provides more information about your agent’s performance.  The Advanced report name is ‘Scorecard – Opportunities by Agent’ and is listed in your REPORTS page.

Why this new report?  You have always been able to generate a report based on referral records where the agent was assigned and stayed assigned.  But that is not always what happens.  If the Assigned Agent was changed to another agent you weren’t able to track what happened with the original agent.  Now you can, and it is all done for you automatically!

THIS IS A VERY BIG DEAL!  Each time you assign an agent, a new Note is added to the Agents Notes table (not the Referrals Notes table).  The [Disposition] is entered as “Assigned” and ReloSpec knows to which referral record.  Once the agent accepts the assignment using one of the ‘AutoAssign’ forms, in addition to everything else, ReloSpec adds an Agents Notes record noting that it was “Accepted”.  Or, if the agent rejects the assignment, we track that along with the reason given by the agent!

So, now when the agent asks you why you don’t assign anything to him/her, you can run this new report and have ALL the results at your fingertips!

Click here to view a sample of this new report.  Notice it displays all Agents Notes and the disposition for each.  They are grouped by Referral record number, Client Last Name and Transaction Address.  You may run the report for any date range.  (Year-to-date is the default)

NOTE: ReloSpec began creating the Agents Notes this morning, so it will take a few days or weeks to build up the data needed for your report.  But, it is all in progress now and you didn’t have to do a thing!
