ReloSpec upgrade coming in July

Over the past few months, and with the help of those serving on the Customer Advisory Boards we have completed a significant upgrade for the ReloSpec software and plan to release the new version the week of July 2nd.  This upgraded Relocation Specialist (ReloSpec) version involves the Client List page as well as Action Plans, AutoPilot and other features.

Beginning next week, when you login you’ll be taken to the new Client List page.  This upgraded page is cleaner, better organized and easier to use.  Most of the features you have been using with the ‘Classic’ version are still available and, many features such as SEARCH and EDIT (pencil) work the same.

This new version is what is currently known as the ‘Mobile’ mode version.  Those using the mobile version on their phones have found it much easier to use and suggested it be expanded to the desktop version.  After reviewing with many current ReloSpec users we have completed the upgrades and are introducing the mobile version as the upgrade with expanded capabilities.

Included with the new version is an enhanced ADD NEW page that includes a droplist to select the Action Plan (collection of predetermined Tasks) to be run.  The Tasks are scheduled and any AutoPilots due to go out right away are automatically sent.  Just fill-in the form with what you know, select the Action Plan and SUBMIT.  The rest is done for you!

To have the automatic Action Plans feature enabled, be sure #3 in the ‘Getting Ready’ section below has been completed.

For a short time, those who want to use the ‘Classic’ version (the one you’re using today) may do so by checking the ‘Classic Display?’ checkbox on the Login page prior to logging in.

For those who want to get a preview or want to begin using the new version, click the ‘Mobile?’ checkbox on the login page prior to clicking LOGIN.

This is one of the most significant changes to ReloSpec in years.  We appreciate all the many suggestions and helps we received from our wonderful ReloSpec friends and associates.

Getting ready for the new ReloSpec version

Checklist to get ready for the new ReloSpec version.

Many of you will already have each of these items in place and there will be nothing to do to get ready.  However, to get the most out of the new version, please take a minute to be sure each of the following items are completed.

  1. Company logo  Your company logo will appear on the Client List page in the upper-left corner.  This logo will be included on outgoing FORMS and should be as square-shaped as possible.  If it is not displayed, return to the Main Menu page, click SETTINGS, then click ‘Upload Logo’ and follow the prompts.
  2. Company name  Your company name should appear in the upper-right of the Client List page.  It is setup in the Users table and is used along with your Email Signature with outgoing emails.  If not displayed, return to the Main Menu page, click SETTINGS, USERS, click the pencil for your name, make the needed changes and click UPDATE CURRENT RECORD.
  3. Allow pop-ups  One of the newer features is the ADD NEW form.  It includes a droplist for selecting the Action Plan you want to use then schedules the Tasks and sends any AutoPilots that are due to go out immediately.  All with one click!  For ReloSpec to schedule and send the AutoPilots your browser must allow pop-ups for ReloSpecCloud.com.  Use the settings feature of your browser to make the change, if needed.
    1. For Chrome, click SETTINGS, Advanced, Content Settings, Popups, Allow, ADD, then enter “www.ReloSpecCloud.com” and click ADD
    2. For IE, click the gear for SETTINGS, click the Privacy tab, in Pop-up Blocker click SETTINGS, in Exceptions enter “www.ReloSpecCloud” and click ADD
  4. Have at least one ‘Referral Source’  When clicking the ADD NEW button to start a new referral, ReloSpec attempts to build the droplist for the Referral Source.  If you don’t already have at least one entered a yellow warning box appears at the top of the page.  To avoid the warning (if it appears) do the following: Return to the Main Menu page, click SETTINGS, click ‘Referral Sources’ and enter “sample” and click ADD NEW RECORD.

 

 

Frequently Asked Questions:

Do I have to download anything to use the new version?

No.  Since ReloSpec is web-based, just login and you’ll have the latest version.

Can I still use the old (Classic) version?

Yes.  For a limited time the classic version will remain available.  From the Main Menu page click the checkbox for ‘Classic Display?’ and you’ll use the classic version.

Where are the links that were on the left side of the page?

The links have been moved to either the top of the page or are included in the ‘Other Options’ droplist.

Can I edit fields not included in the ADD NEW page?

Yes.  After adding a new record it will appear in the Client List page.  Click the pencil to edit any of the fields.

Are the Notes and Tasks still displayed below the grid?

Yes.  The grid now contains a maximum of 10 records and the Notes and Tasks are still displayed below the grid for the selected record.

What does the ‘Quick’ button do?

Once you have selected a record in the AutoPilot, the Responses or the Tickler page, minimize the page and click the ‘Quick’ button to instantly select the corresponding record.  Say you’re looking at an AutoPilot item and you want to see the Notes for that record.  Click the ‘Quick’ button and view the one record with the Notes displayed below the grid.  Quick and easy!  Click ‘Cancel Quick’ to return to the normal display.

What does the Action Plan droplist do in the ADD NEW page?

By selecting the Action Plan in the droplist, when you click SUBMIT, the Action Plan Items are scheduled and any AutoPilots that are due will be sent.  All with one click.  If you complete the form are not ready to select an Action Plan, click the droplist and select the blank area before clicking SUBMIT.  The record will be saved but no Action Plan will be run.

Can I run an Action Plan on an existing record?

At any time you can select the record in the Client List page, click the ‘Action Plans’ button to open the page, select the one you want and click the button to schedule the Items.

Will there be more upgrades coming?

Yes.  Many new features are planned for ReloSpec.  Menu bars will be added plus the ability to view all details (ie. Notes, Tasks, Closing Info) in accordion style in the Client List page.  Integration with other services such as websites and other software as well as simplified forms and reports are in the planning stages now.

 

 

Enhanced Mobile Mode

Many ReloSpec users have used the ‘Mobile’ mode to view/edit records on their phone.  Thanks to suggestions from members of our Customer Advisory Boards we have greatly enhanced the ‘Mobile’ mode which may now be used on your phone or desktop.

The enhanced Mobile mode is the first step towards the ReloSpec ‘face lift’ planned for this page later this year.  The whole idea is to make things simpler and more efficient.  It all begins with the checkbox for ‘Mobile?’ when logging in.  If you access the login page on your phone, ReloSpec will recognize you’re using a phone and will default to ‘Mobile mode’.

 

Using your desktop when you login, click the checkbox next to ‘Mobile?’ then click the ‘Log In’ button.  After a brief (1 second) delay you will be automatically taken to the Mobile version of the Client List page.  The ‘Mobile’ page contains most of the features of the ‘Classic’ version but is cleaner looking and less confusing to new users.

Features of the Mobile version include:

  • ‘Call to action’ buttons at the top of the page
  • Your company name (branding) at the top-right of the page
  • The most-often used buttons at the top with ‘Other options’ droplist
  • The grid now displays up to 30 records instead of 6
  • The Notes and Tasks are still displayed below the grid
  • Clicking ‘Add New’ will open the newer ‘Express’ form which includes the Action Plan choices in the droplist at the bottom of the page. Using this form will insert the new record, schedule the Action Plan items and send the AutoPilot(s) with just one click!
  • Clicking the ‘Reports’ button will open the newly-formatted Reports page with reports arranged in logical sections. (You may still view the classic list of reports by clicking ‘View all reports’
  • The AutoPilots, Responses and Import buttons display the total number of each. If any of the buttons is > 0 you’ll know to click the button and process the records.

The grid shows the most popular fields, and includes the envelopes by each name allowing you to quickly send an email as needed.

Pre-recorded Checkup Webinar is Available

Response to the web seminars has been great!  We appreciate those who were able to invest a few minutes to sharpen their ReloSpec skills.

However, many were not able to attend and have requested having a recorded version of the webinar available for viewing at any time.  We’re happy to announce that we have added the ‘ReloSpec Checkup’ webinar as the first item on the list of pre-recorded webinars.

We’re Just Getting Started (again!)

As was announced last week, Constellation Web Solutions (CWS) has purchased Relocation Specialist (ReloSpec).  We are all very excited to be a part of the CWS family of real estate-related products and look forward to improvements and new features coming soon to ReloSpec.

As we are just now getting started, here are a few of the things we’re working on:

  • Email to Responses;  this new feature will automatically insert email replies to the ReloSpec Responses table.  Emails sent from ReloSpec will include the database name and referral ID.  When the recipient clicks REPLY and sends the email, it will be forwarded to a ReloSpec server that will extract the email content and insert it into the Responses page.  That way, the user avoids copying/pasting the email content into the referral record.
  • ReloSpec Facelift; Don’t we all want to get things done faster, be easier-to-use and look better?  Watch for a more updated ‘look’ with easier to use features.  We think you’ll appreciate the modern look and love the time-saving features.
  • ReloSpec 1-click with Express pages;  Okay, this one isn’t new, but if you’re not using the ‘Express’ forms on the Main Menu page you should be.  Why?  Because all you do is open the page, fill-in the fields and SUBMIT.  The Action Plan and AutoPilots are automatically run for you and if it’s an ‘Outgoing’ record and the receiving broker has ReloSpec it sends a copy of the record to their Import table!  Quick and easy!
  • FORMS and REPORTS rehab;  We all know there are too many forms and too many reports.  We are in the process of identifying the most-used ones so we can consolidate what we have while providing what you need.
  • Agent Access;  Did you know you can assign an ID/Password to your agents and they can then login, view only their own records in Read-Only mode?  They can send updates on specific referrals, submit new ones and even update their own profile information like phone and email address.  You may assign as many as you like and you may remove access to agent(s) as needed.

Getting the most from your ReloSpec: EXPRESS LINKS

We often hear ReloSpec users say, “I know it could do more for me, but I don’t have the time to learn how”.  Use the Express links on the Main Menu page and let ReloSpec do things automatically!

The greatest advantage to using the Express ‘Incoming’ or ‘Outgoing’ referral form is that you choose the Action Plan before clicking SUBMIT and ReloSpec does the rest!  It selects the Tasks to be done and if they’re due today it automatically sends the AutoPilots!  Just fill out the form, select the Action Plan and SUBMIT.  Easy and FAST!

Plus, the Express links include a list of AutoPilots due to go out, and a list of Responses coming in.  Want it more automatic?  Let a member of the ReloSpec Team know you want your AutoPilots sent for you.  We’ll add your name to the list of people whose AutoPilots get sent each morning.  You don’t even need to login!

And, for Responses, if you want, you can have all your responses go automatically to the Notes table.  Then, when you select a record in the Client List page you’ll see ALL notes and not have to also check to see if there is an update waiting in the Responses table.  You can turn this feature on or off in the Settings, Users page.

Get more done in less time with the Express links!

Follow-up with Agent until ‘Live’ contact is made

When you assign a new lead to an agent, do you want to send a request to the agent every day for, say, 6 days asking if ‘live’ contact has been made?  And, if live contact has been made, do you want ReloSpec to stop sending the ‘Follow-up’ requests?

Now you can!  In the past you could always send an AutoPilot to the agent, but once contact with the client had been made you needed to cancel the AutoPilots yourself.  With the new ‘Auto Follow Up’ form that is done for you automatically.

Create an Action Plan Item with the following settings:

  • Activity: AutoPilot
  • # of Days from today: 0
  • Repeat?: YES
  • Repeat in how many days?: 1  (sends the AutoPilot each day)
  • Expires in how many days?: 6 (or however many days you want)
  • Is a Response required?: YES
  • Send to whom?: Assigned Agent
  • Send which form?: Auto Follow Up

That’s it.  ReloSpec will send the ‘Auto Follow Up’ form to the agent each day.  The form asks if ‘live’ contact has been made.  When the agent clicks the link in the email and answers YES on the form, the response will be inserted into your Responses page.  When you ‘process’ the response ReloSpec will look to see if you have any other ‘Auto Follow Up’ forms scheduled for the agent.  If so, ReloSpec will automatically cancel the remaining AutoPilots containing the Auto Follow Up form.

This is a great way to help ensure the agent is making the effort to contact the client within those first critical days.

ReloSpec Web Seminars for July

The ReloSpec Web Seminars are a great way to learn new skills or brush up on skills you already have!  The seminars for July have been published and are available by clicking this link, or from the ReloSpec Main Menu page where you scroll to the bottom of the page and click the link there.

There is a special seminar for HSF Affiliates (Prudential, Berkshire Hathaway HomeServices or Real Living) this Thursday, July 7th but if that one is the only time you have available and you are not an HSF affiliate, you are still welcome to register.

Once you’re registered you’ll receive an email with the date, time and link to join the seminar.

Send ‘Initial Contact’ until Agent reports YES

Do you want to send the ‘Initial Contact’ form every day to the agent, but then stop sending it once the agent says ‘YES’ – the contact with the client has been made?  Now you can.

You were always able to create an AutoPilot item that repeated itself every day, but now the ‘Initial Contact’ form is “smarter”.  ReloSpec will watch the responses coming back from the form.  If the agent answers ‘NO’ that contact with the client has not yet been made, ReloSpec will continue to send the form each day.  If/when the agent answers ‘YES’ that the contact with the client has been made, ReloSpec will mark the AutoPilot ‘Complete’ and stop sending the form.

ReloSpec is looking for AutoPilots sending the ‘Initial Contact’ form, so other AutoPilots you may have will not be affected.

You don’t need to monitor the responses or do anything to stop sending the form to the agent.  ReloSpec will watch for the response and stop sending the form when the agent reports contact with the client.

This cool feature works with the ‘Initial Contact’ form and the short version ‘Initial Contact 2’.

The easiest way to make this happen is to add an AutoPilot item to an Action Plan that sends the ‘Initial Contact’ form to the assigned agent.  Mark the [Repeat?] field YES and in the [Repeat in how many days?] field leave it at 1.  The ReloSpec AutoPilot will send the form each day until the agent responds to the form with a YES.  ReloSpec will then automatically stop sending the form.

Just set it and forget it.  It’s another way that ReloSpec saves you time.

ReloSpec Express Rolls On; More Fields, More Training Seminars

The new ReloSpec Express features are very popular!  ReloSpec users are able to quickly create new Incoming and Outgoing referrals and have all the ReloSpec extras like Action Plans, AutoPilots and sending of referrals to other brokers all done automatically.  It is changing the way ReloSpec is used!

After using Express, customers have asked us to add certain fields to the pages to streamline the process.  And we listened!  New fields such as Color Code, File Number, Alternate Referral Fee and others are being added to Express pages very soon.

And, did you notice the new FORMS being used with the Express Outgoing page?  By default the ‘Express Outgoing’ Action Plan is being run which includes the new ‘Referral Acceptance – Outbound 4’ form.  That form includes two links; one if the receiving broker wants to ‘Accept Online’ and another link if the receiving broker wants to print and fax the simplified yet detailed form.  If they accept online the acceptance comes right back into the Responses page.
