Upgrades in the Works: Part 2

The design work continues with the ReloSpec software and our emphasis on the Client List page.

Today we’re addressing the ‘Quick Reference‘ section of the Client List page.      We want your input!  What are your thoughts regarding the items listed under ‘Quick Reference‘?  Please take a few minutes to complete the survey.  Click here to take our QUICK REFERENCE section survey.

Last week we asked you about the ‘At-A-Glance’ section and your responses were fantastic!  More than 40 of you completed the brief survey and we learned a lot about what’s important to you.   Those of you that sent a response we are going to send you an additional message with more detailed questions about the sections of AT A GLANCE that you utilize.   We are not wanting to remove functionality, but we do want to reorganize the layout to include a top menu bar like you see on the Main Menu page.

Main Menu Page Gets A Facelift

You will soon notice that the ReloSpec Main Menu page has a new look.  With the help of the Constellation Web Solutions team, the page is now more up-to-date.  The old icons are gone and a new menu bar has been added at the top. This is a brief preview of future changes that are planned for other ReloSpec pages.  

Over the next few months we’ll begin with the most-used pages and continue from there.  Not only will there be a new look, but we’re very excited about new easy-to-use features that are planned.

NOTE: For those of your using Internet Explorer (IE) in ‘Compatibility Mode’ you may find it necessary to use the link at the bottom of the page to change back to the ‘Classic Version’ of the page.  We will not be programming for Compatibility View for future ReloSpec pages.  If you use IE in Compatibility Mode, and you want to view the new page, do the following:  1) Click the gear in the upper-right of the page, 2) Click ‘Compatibility View settings’ and 3) Remove the entry for “ReloSpecCloud.com”

Pre-recorded Checkup Webinar is Available

Response to the web seminars has been great!  We appreciate those who were able to invest a few minutes to sharpen their ReloSpec skills.

However, many were not able to attend and have requested having a recorded version of the webinar available for viewing at any time.  We’re happy to announce that we have added the ‘ReloSpec Checkup’ webinar as the first item on the list of pre-recorded webinars.

We’re Just Getting Started (again!)

As was announced last week, Constellation Web Solutions (CWS) has purchased Relocation Specialist (ReloSpec).  We are all very excited to be a part of the CWS family of real estate-related products and look forward to improvements and new features coming soon to ReloSpec.

As we are just now getting started, here are a few of the things we’re working on:

  • Email to Responses;  this new feature will automatically insert email replies to the ReloSpec Responses table.  Emails sent from ReloSpec will include the database name and referral ID.  When the recipient clicks REPLY and sends the email, it will be forwarded to a ReloSpec server that will extract the email content and insert it into the Responses page.  That way, the user avoids copying/pasting the email content into the referral record.
  • ReloSpec Facelift; Don’t we all want to get things done faster, be easier-to-use and look better?  Watch for a more updated ‘look’ with easier to use features.  We think you’ll appreciate the modern look and love the time-saving features.
  • ReloSpec 1-click with Express pages;  Okay, this one isn’t new, but if you’re not using the ‘Express’ forms on the Main Menu page you should be.  Why?  Because all you do is open the page, fill-in the fields and SUBMIT.  The Action Plan and AutoPilots are automatically run for you and if it’s an ‘Outgoing’ record and the receiving broker has ReloSpec it sends a copy of the record to their Import table!  Quick and easy!
  • FORMS and REPORTS rehab;  We all know there are too many forms and too many reports.  We are in the process of identifying the most-used ones so we can consolidate what we have while providing what you need.
  • Agent Access;  Did you know you can assign an ID/Password to your agents and they can then login, view only their own records in Read-Only mode?  They can send updates on specific referrals, submit new ones and even update their own profile information like phone and email address.  You may assign as many as you like and you may remove access to agent(s) as needed.

ReloSpec Images Option Getting More Secure

This blog update is for those ReloSpec customers using the Images option.

Data security has always been an important part of the Relocation Specialist (ReloSpec) software.  Due to recent concerns about the security of the uploaded image files today we are announcing changes that are coming for those using the Images option which will be just as easy to use, but more secure.

What will change is the location of the uploaded image files and the way they are sent to others requiring a copy of the file.  The Images option has always included a way to email the file(s) to someone else.  The page that was sent included HTML links that allowed the user to view the file online.  That option is going away in favor of sending the file as an attachment.

And, viewing an uploaded file by the ReloSpec user will change slightly.  You’ll still click a button to view it, but rather than viewing the file within its folder, a copy of the file will be put into a temporary folder with a GUID-style ID number.  There will be no chance of someone being able to access uploaded image files.

In addition, certain ReloSpec forms include a photo (image) of the agent.  Those forms will be updated at a later time.  You may continue to use such forms; for now they just won’t include the agent’s photo.

We expect to have this security upgrade completed by tomorrow (Saturday, September 15th).

 

ReloSpec FORMS are getting Smarter

Often ReloSpec users will need to send one of the FORMS pages to an agent or contact.  The quickest and easiest way to do that is to select the record in the Client List page, click FORMS, browse to the one you want, insert an email address and click SEND.  Easy!

But, then to document what you just did, you need to click NOTES, Add New, enter the info and click ADD NEW RECORD.

Now, ReloSpec forms are getting smarter.  Select the record, click FORMS and SEND it.  Then, ReloSpec will automatically add the note for you!  It will record the Date/Time, Who sent it, What was sent and to what Email Address.  We are now in the process of updating all the ReloSpec forms, and have started with the most-used ones.  If there is a form you use often that is not yet upgraded just let us know (support@prosws.com) and we’ll move it to the top of the list.

Smarter forms will help make things faster and easier for you!

Turn Browser AutoFill OFF

From time to time we hear complaints about users getting to a certain field (like Client State or Zip Code) and all of a sudden ReloSpec seems to stop.  Why would ReloSpec choose that field to stop letting you enter information?

ReloSpec is NOT doing that.  It is  your browser!!!

The ‘AutoFill’ is a browser feature that constantly tries to automatically fill-in a field with information you have typed previously.  The problem is that if you have AutoFill for Forms turned ON, the browser may take a very long time to figure out what to enter for you.

So, turn OFF (or un-check) the AutoFill for Forms.

For Internet Explorer, do the following:

  1. Click the gear for settings in the upper-right
  2. Click ‘Internet Options’
  3. Click the ‘Content’ tab and in the AutoComplete section click ‘Settings’
  4. Un-check the box for FORMS; click OK, click OK

For Google Chrome, do the following:

  1. At the top right, click More More and then Settings
  2. At the bottom, click Show advanced settings
  3. Under “Passwords and forms,” uncheck “Enable Autofill to fill out web forms in a single click.”

For Mozilla Firefox, do the following:

  1. Click the Menu button  New Fx Menu and choose Options.Preferences.
  2. Select the Privacy panel
  3. In the drop-down menu next to Firefox will:, choose Use custom settings for history.
  4. Remove the check mark next to Remember search and form history.
  5. Close the about:preferences page. Any changes you’ve made will automatically be saved.

Getting the most from your ReloSpec: NEEDS ANALYSIS FORM

Many of you are using the Referral Submit Form to allow your agents and contacts to submit new referrals directly into your database.  The agent clicks a link on your company website or from your ReloSpec Email Signature, completes the online form and clicks SUBMIT.  ReloSpec accepts the referral into your Import table and sends an email to let you know it is there.

Now there is a special Referral Submit form your clients may use to submit their own referral.  It is the Referral Submit Form – Needs Analysis and is listed in your FORMS page.  There are some significant differences with this new form.

  1. When you email the Needs Analysis form to the client it comes in the form of a personal letter and contains your ReloSpec Email Signature.
  2. You may specify your own Body Of Letter to be included with the letter if the brief instruction is not enough.
  3. If sending it manually, you may add your own text that will appear at the top of the email.
  4. The email letter contains a link that when clicked will open the Needs Analysis form for the client to submit.
  5. When it is submitted ReloSpec will send a notification email to the address for the “Referral Submit Form” user in your Users table.

There are many fields in the Needs Analysis form that are not found in ReloSpec.  For those items that don’t already have a field, a brief description and the client’s input is added to the Client Comments field and would be included in the Agent Assignment and other ReloSpec forms sent to agents and contacts.

Getting the most from your ReloSpec: REFERRAL SUBMIT FORM

This is the first in a series of blogs designed to help you get the most out of your Relocation Specialist (ReloSpec) software.  Today we’re looking at the Referral Submit Form.

This handy form can make life easier for you in so many ways!  Why re-enter new referral records when they can be submitted to you by someone else?  The following are a few ways that the Referral Submit Form may be used:

  1. Want to have others like contacts and agents submit referrals to you?  Include a link to the online form in your Email Signature.  This can be setup with just a few clicks.  From the Main Menu, click SETTINGS, USERS, click the pencil on your name, then in the Email Signature field click the Auto-Create button and OK.  Your email signature is created for you including a link labeled “Click here to Submit a Referral”.  Whenever  someone clicks the link and submits the form, the referral is received in your ReloSpec IMPORT table.  This link even includes your own name, so the incoming referral is assigned to you.
  2. Want to generate more outgoing leads?  Include the link that is in your Email Signature on your company’s website.  Next time an agent lists a home for someone moving outside your area, encourage them to click the link and submit the referral online.
  3. Or, if the link isn’t on your company’s website, you can always select the ‘Referral Submit Form’ in the FORMS page and email it to the agent.  He/she can submit the form and you receive it in your Import table.
  4. Coming soon…  We are developing the ‘Needs Analysis’ form that your clients can submit online.  Think of it as a Referral Submit form for the client, but with much more specific information.  When you have a client who wants to submit their own page with their needs/wants you’ll be able to receive it in the Import table and assign the appropriate agent.  Watch for an announcement soon on the Needs Analysis form.
