There is a new button at the bottom of the Utility Settings page that is used to delete old ToDo items, and we are asking all to use it. The purpose is to remove from the database ToDo items that are completed and that are more than a year old. By removing these unnecessary records the response times will continue to improve as the database has fewer old records to sort through.
We recommend that at least once a month, someone using your database clicks the button and removes the unused records. This practice is currently voluntary and will help maintain good response times in your database.
Button is located at the BOTTOM of the Utility Settings PAGE…alll the way down, under the return to main menu button
and reads:
NOTE: In an effort to reduce unnecessary database size
and improve response times, we recommend that you
periodically delete old (> 1 year) ToDo List items that
have been completed. Delete Old ToDoList Records …

Will we need to log out and in again to see this new tool?

Sorry, can’t seem to find the button to delete old to do items, what it is called? Or do I just use my tickler and multi delete as usual?

Please advise what is the name on the button? I have logged in and opened the Utility Settings page but do not see a new button with this function. I checked the other buttons but none offer this. Is it coming soon? Thanks, Megan

I too am at a loss to find the button you’re referring to. It seems like a good idea, cleaning up the database, but I can’t do it if I can’t find the button:(

Who in the world needs a 1 yr old completed ToDo? I vote you don’t make me have to remember to do this monthly, just do it across the board automatically to keep everyone’s database cleaned up and up to speed!!

Robin,
This is our ultimate goal, we agree.

The illusive botton has now finally appeared and it worked, taking out all the “dead wood”.

Just to clarify, this will only delete ToDo Records and not the actual Responses that came from them? Because of the length of the market right now, we do have things over a year old that are still active, so wanted to check this before deleting. Thanks!

Correct. If the ToDo item is complete and was created more than a year ago it will be deleted if the button is pushed. It has nothing to do with the current status of the corresponding Referrals table record. All Responses and Notes remain.

We have looked at our outstanding to do list. However, we noticed that when we click on one of them to open it nothing happens. How do we identify what file this open item corresponds with? We’ve trying going in to the TO DO for a specific person and they don’t have all of those “TO Do’s” under their name. Could these come from our data dump from XChange? They are all dated June 2009 within one weeks time span. Anyone else have this problem? Thanks, Jennifer
