ReloSpec Images Option Getting More Secure

This blog update is for those ReloSpec customers using the Images option.

Data security has always been an important part of the Relocation Specialist (ReloSpec) software.  Due to recent concerns about the security of the uploaded image files today we are announcing changes that are coming for those using the Images option which will be just as easy to use, but more secure.

What will change is the location of the uploaded image files and the way they are sent to others requiring a copy of the file.  The Images option has always included a way to email the file(s) to someone else.  The page that was sent included HTML links that allowed the user to view the file online.  That option is going away in favor of sending the file as an attachment.

And, viewing an uploaded file by the ReloSpec user will change slightly.  You’ll still click a button to view it, but rather than viewing the file within its folder, a copy of the file will be put into a temporary folder with a GUID-style ID number.  There will be no chance of someone being able to access uploaded image files.

In addition, certain ReloSpec forms include a photo (image) of the agent.  Those forms will be updated at a later time.  You may continue to use such forms; for now they just won’t include the agent’s photo.

We expect to have this security upgrade completed by tomorrow (Saturday, September 15th).

ReloSpec Update: All Features Are Working

Broker Center copy/paste feature is working

For those of you who are using the Cartus Broker Center ‘copy/paste’ feature, we’re happy to report that it is now working on the new ReloSpec secure cloud servers.

ReloSpec has been successfully moved to the new cloud servers. If the way you have accessed your database doesn’t get you to the login page, try going to www.ReloSpecCloud.com and login from there. Other links such as http://www.MyReloSpec.com will be available soon.

Training Seminars and New Open Training Classes

There is still time to sharpen your ReloSpec skills this year!  Four new web seminars have been scheduled, plus two new Open Training Classes.

The web seminars will be held on Tuesdays and Thursdays next week at 11:00 and 2:00 Central time.  The Open Training Classes are on Tuesday the 13th at 11:00 or Thursday the 15th at 2:00 Central.  The Open Training Class is different from our seminars.  Topics will be decided by those attending the class.  Attendees will be able to ask questions directly and can hear and respond to answers.

Enabling Agent Access

For a long time we have had the ability to allow agents to login and have access to limited features.  The agent can login, then:

  • Have Read-Only access to records assigned to the agent
  • Send updates right away (without waiting for an emailed update request)
  • Send quick emails to the clients that are automatically saved in the Notes
  • Create new referral records that use the Referral Submit Form and are added to your Import table
  • Access the ‘Scorecard’ report for that agent

Now, allowing the agent to access ReloSpec is simple and fast!  A new field ‘Enable Login’ has been added to the Agents table.  Simply select the agent, click the pencil to edit the record and set ‘Enable Login’ to TRUE.  That’s it!  When you do that, ReloSpec will:

  • Create an ID/Password for the agent (the ID will be the agent’s email address)
  • Add the agent to your Users table in SETTINGS
  • Send an email to the agent with a link to ReloSpec and the ID/Password displayed

If you change your mind and do not want the agent to access ReloSpec, just select the agent in the Agents table, click the pencil to edit the record and set ‘Enable Login?’ to FALSE.  ReloSpec will delete the entry from the ReloSpec Login table (not from your Users table) and the agent will no longer be able to login.

ReloSpec Web Seminars for June

The ReloSpec Web Seminars are a great way to learn new skills or brush up on skills you already have!  The seminars for June have been published and are available by clicking this link, or from the ReloSpec Main Menu page where you scroll to the bottom of the page and click the link there.

There is a special seminar for HSF Affiliates (Prudential, Berkshire Hathaway HomeServices or Real Living) on Tuesday, June 7th but if that one is the only time you have available and you are not an HSF affiliate, you are still welcome to register.

Once you’re registered you’ll receive an email with the date, time and link to join the seminar.

New Agent Table Update Button in Settings

A few weeks ago we added new fields to the Agents table that contain the entries found in the Agent Languages, Agent Training and the Agent Areas Worked tables.  This makes is simple to search for the correct agent based on those items, plus Notes and many other fields.  The reaction has been great because those same search features were extended to the ‘Lookup from Agents table’ link in the Client List page!

For those ReloSpec users who were already using the Languages, Training and Areas tables, the issue became how to get the information from those tables into the new fields.  For the SEARCH feature to work the information from the various tables must be entered into the corresponding Agent table field.  That is done manually each time you select an agent in the Agents page, click one of the buttons for Languages, Training or Areas and click the ‘Return to Agents’ button.

But, what if you have multiple settings for many agents?  The solution is now available!  From the Main Menu, click Settings then click the ‘Update Agents Areas, Languages and Training’ button near the bottom of the page.  A new page will open.  Click the BEGIN button and ReloSpec will automatically update all 3 fields for Languages, Training and Areas Worked for all your Agents!  This utility only needs to be run one time for each database, but if someone runs it multiple times it won’t matter.

Once the new utility has been run all your agents will have the fields updated and you may easily search for the right agent based on a wide variety of settings including Languages, Training, Areas Worked as well as by Office, Notes and other settings.
