New ‘Competitor’ Report is Now Available

On August 1st we announced the new ‘Competitor’ link that allows you to enter the competitor’s Name, Agent Name, List Date, Sale Date, List Price and Sale Price for individual records.  Today we’re announcing the availability of the ‘Competitor’ report.

This new (Advanced) report allows you to enter the date range and filter for Office(s) and displays your Office, Agent, Client, List Date, Sale Price and the five Competitor fields for each record.  The first day of the current year is the default Begin Date.  Because this is an Advanced report you may export the report to a PDF file if you want to save it or email it to someone else.

Enhanced SEND Button; Introducing the GUEST Database

When someone says they want to send you a referral, you should be asking, “Do you use ReloSpec?”.  Why?  Because you’ll want them to use the SEND button.  Why?  Because you avoid re-entering the referral record!

Save time by asking the other broker to SEND the referral to you using the SEND button.  All they do is select the record, click SEND, enter your Database ID (found in heading of Referrals List page) and click the SUBMIT button.  The record is instantly in your Import table where you can review it, or with the click of a button you can move it into your Referrals List page and start working it.

What if you want to SEND a record to someone else?  Select the record, click the SEND button and you can look up the other broker by SEARCHing for their name, city/state they work in and other criteria.  COPY and PASTE the Database ID and SUBMIT.  ReloSpec will automatically generate an email to the Contact to let them know the record has been sent!

But, what if they don’t use ReloSpec?  No problem!  Click the SEND button and send it to the GUEST database.  ReloSpec will insert the record into their GUEST database where they can login and view the records sent to them from you and other ReloSpec users.  An ID/Password will be created automatically and included in an email that gets generated automatically and is sent to them.  Then, anytime they want they can go to MyReloSpec.com, and login using the ID/Password.  They can select a record and use the SEND UPDATE button to let you know the latest.

Quick EMAIL Buttons, Enhanced!

Many of you have used the Quick EMAIL buttons on the Referrals List grid.  It’s a great way to quickly create an email to the selected person (ie. Contact, Client, Assigned Agt, Ref Agt) and have the email content automatically saved in the Notes for that record.

But now, there is an additional helpful feature.  At the bottom of the EMAIL page, there are two checkboxes.  Checking the first one will automatically insert the ‘Incoming Information Sheet’ in the body of the email.  Checking the second one will automatically insert a pre-selected Body Of Letter into the email body.

Let’s say you’ve just updated something within a record and you want to let the agent know.  From the grid, click the EMAIL button next to the Assigned Agt Last Name, enter what you want to say in the email and check the first checkbox.  The email, with the Incoming Information Sheet will be sent to the agent and the transaction recorded in the Notes.  What could be easier?

TRY IT: To see what the agent would get try sending it to yourself.  Select a record, click the EMAIL button, change the email address to your email address, check the first checkbox and SEND.

ReloSpec’s Most Popular Reports (and Forms too!)

Need help finding the right report?  There’s been a lot of talk lately about finding and publishing the best ReloSpec report for the right people.  Want to know what others are using?

We have added a new radio button to the REPORTS page labeled “Most Popular”, and when you open the page it defaults to displaying ReloSpec’s most popular reports.  The list may be updated from time to time depending on new reports that get released and what people are using.  But, it’s a short list of reports that may give you just what you need.

You still have the options you had before for “My Favorites” and “All Reports”, as well as “Advanced”, “Standard” and “Miscellaneous”.

And, the new Scheduled Reports feature allows you to select WHICH REPORT to be sent to WHOM and WHEN.  Are you using this new feature yet?  As always, if you need help with finding or sending the right report(s), just let us know.

By the way, very soon you’ll see the same three options on the FORMS page; “Most Popular”, “My Favorites” and “All Forms”.

Need to Keep An Eye on the Competition?

We know that some of you keep track of the competition and especially those brokers to whom you may lose a deal.  Now you can keep all the information you need in a convenient page linked to the referral record.

There is a new link on the left side of the Referrals List page labeled “Competitor”.  Just click that link, fill in the information you want and click UPDATE.  The fields include Broker Name, Agent Name, (their) List Date, Sale Date, List Price and Sale Price.

We’re adding the Competitor Name to the far right side of the Referrals List grid so you’ll be able to see it there too, if you like.  And, soon you’ll see a new report that will display the Competitor fields along with other important fields such as Dead Date and Dead Reason.

So, now you can have the information that may help you win more deals!

Scheduled Reports: What’s a GUID and why should I care?

The new Scheduled Reports are an increasingly popular way of having AutoPilot send the reports you want sent to selected people at specific times.  One of the more popular uses of this feature is to send the ‘Activity, Grouped by Office’ report to individual Office Managers, and limit the report to ONLY the records for a specific office.

Introducing the GUID (Globally Unique ID).  A GUID (pronounced: GOO-id) is a unique 36 character combination of letters, numbers and dashes associated with each record.  They are necessary to differentiate Offices (or Agents) without revealing the Office Name on the URL.  For example if you clicked the link in an email that said, “Click here to open the report”, the report would open in a new Internet window, however without the GUID, the URL address would include something like “…Office=Omaha&…”.  Upon seeing that the Manager could substitute something like “…Office=Lincoln&…” and view records from another office.  Not good.

So, instead of revealing the Office Name in the URL we include the GUID, and get something like “…Office=8C79D39D-11F5-432A-B330-4FFDB1A4F3B9“.  It looks confusing to you and me, but ReloSpec reads and understands them perfectly!

The Agents and the Offices pages now have radio buttons used to either SHOW or HIDE the GUID for each record.  Why should you care?  Typically you won’t, until you need to build the Body Of Letter to limit the Office Manager to viewing only their office’s records.

Let us know which agents you want to have their own Read-Only access to their records and we’ll create the IDs/Passwords.  We’ll email the list back to you and you can let the agents know.  Then, they can login to MyReloSpec.com anytime, view their records, provide updates and send new referral records to you 24/7.  You can change their IDs/Passwords anytime or delete them from your Users table as needed.

Scheduled Reports
It’s as easy as 1-2-3.  Send us a list of 1) Which Report goes to 2) Which Email Address(es) and 3) When To Send and we’ll set up the first ones for you.  Need help selecting the right report(s)?  Let us know and we’ll help.  Send a copy of the current ‘final’ report you’re using and we’ll match it to the ReloSpec report that best fits your needs.

We All Need GOALS! (And new fields to enable the Goals)

Goals are good.  They give us something to work for.  And, now in ReloSpec you can enter Goals for Agents and Goals for the Company.  AND, have the Reports to quickly and easily show the percent achieved!

For the Agents, simply select the agent from the Agents table, click the pencil and enter the goals in the fields in the right column.  Fields include Total Listed, Total # Closed, Total Agent Generated, Conversion Rate Percent, Total Outgoing, Average BMA Variance and Average DOM.  Once the goals have been set, at any time you can run the new ‘Scorecard – Agent Goals’ report and see the results for the agent!  Though there is some tweaking to be done to the report you can get the idea by viewing the sample report.

For the Company, go to the Utility Settings page and click the link for ‘Goals’.  Click the pencil to update the fields with your company goals for the year.  You’ll see there are fields for: Total Listed, Total # Closed, Total Outgoing Placed, Outgoing Placed In Network, Outgoing Closed and Outgoing Closed in Network.  Soon there will be a Company Report that will display the Goals and the percent achieved YTD or for any date range you want!

Especially for CARTUS Brokers 
For those ReloSpec users who are Cartus Brokers the Company Goals page has 30(!) additional fields so that you can set goals for USAA, HES, NFCU and other Cartus-exclusive fields.  The upcoming ‘Scorecard – Company Goals’ report will display the goals and the YTD results, or for any date range you want!

New Fields To Enable The Goals
In order to get the results for the new Goals feature it was necessary to add a few new fields to the ReloSpec Referrals List page and the Closing page.  There are 3 new fields; 2 in the Closing page and 1 in the Referrals List page.  In the Closing page there is now the ‘Pending Sale u/d Date’ and the ‘Final Sale u/d Date’ fields.  For Cartus brokers especially it is important to track the amount of time between the Contract Date and the date and update is provided, as well as the time between the Close Date and the Final Sale update is provided; hence the new fields.  In the Referrals List page it is important to know if a given record is within the ‘Network’ and that is why there is now a checkbox for ‘In Network?’.

The Referral Types field is now SMARTER
In the past, once you selected a Referral Type, the Subtype and the Buyer/Seller/Renter fields were updated automatically.  ReloSpec looks at the Referral Type found in the Referral Types table (in Utility Settings), sees the accompanying fields and updates them for you.  Now, in addition to those fields, the Referral Type can also determine whether or not the record is ‘In Network?’ as well as update the Referral Source field.  This will be especially important for Cartus brokers.  It is expected that the Referral Source field will contain entries for “USAA”, “HES” or “NFCU” so that the new ‘Scorecard – Company Goals’ report will be able to get the proper results.  Be sure to check out the new Training Video for Referral Types for more information.

Agent Access – Bigger & Bettter and FREE

A few weeks ago we announced the Agent Access feature.  Today we are announcing the new price (FREE for the license) and new features.

Do you have agents who want access to the records assigned to them?  Do you want them to be able to supply updates without waiting for your email to arrive?  Want your agents to submit new outgoing referrals easily?  It’s all included in the new Agent Access.

With the new Agent Access:

  • You create the ID/Password for as many agents as you like.  Have them go to MyReloSpec.com to login
  • You may add/delete agents as often as you like
  • Agents can login, view only their records and cannot change anything
  • It works great with smart phones, iPads, tablets and PCs!
  • They can select a record, click ‘Send Update’ and their comments go right into the Responses table
  • Agents can use the ‘Add New’ button to submit outgoing referrals that come into the Import table
  • Agent Access does not replace the AutoPilot sending of update requests
  • The Scorecard report for the agent is available at the touch of a button.
  • More reports including percent of Goals achieved are coming soon!
  • There is no charge for the license.  Next year when your annual Maintenance comes due you’ll be charged a maximum of $5/agent/year.
