How do I delete a Tickler item, or multiple items?

Open your Tickler page by clicking on the Tickler link on the left-hand side of your main referral pageTo Delete One Specific Tickler item

  • Select that Tickler item
  • Click the RED DELETE button at the top of the page
  • Scroll to the bottom of the page and click the Delete Current Record button

 

To delete multiple records

Open you Tickler page by clicking on the Tickler link on the left-hand side of your main referral page

  • Click the RED DELETE MULTIPLE button located at the top of the page
  • Enter the parameters you wish for deletion
  • When the records are displayed scroll to the bottom of the page and click the DELETE NOW button

How do I add a ToDo item?

 

  1. From the Referrals List, click the ToDo link on the left-hand side of the page.
  2. Select your Activity from the droplist (eg. call, fax, email).
  3. Enter the due date; either using the pop-up calendar or enter it manually using the following format:  MM/DD/YYYY.
  4. WHO will be yourself, unless you are entering the information for another user.
  5. The Description should be a brief description of what needs to be done.
  6. Select whether the item should be repeated using the Is Repeating? field.  (Typically for ToDo Items where the Activity is not AutoPilot set Is Repeating? to FALSE.)
  7. There must be a number in How Many Days Field, so even if the item is not repeating, leave the number 1 in this field.
  8. Response Required should be marked as FALSE.
  9. Click Add New Record.

How do I create a ActionPlan?

To add an action plan:

  1. From the Main Menu click the Utility Settings link, then click ActionPlans.  (You may also get to the ActionPlans from the ToDo page link in the Referrals List.)
  2. Click ADD NEW, and enter a description for the new ActionPlan you are creating.
  3. Select the new ActionPlan you just created, then click the Edit The Action Plan Items button.
  4. If you are about to enter the first ActionPlan item, the page will open to Add a new recordand you can begin entering the data in each field.  If there is at least one item already in the ActionPlan, click the ADD NEW  button to enter the additional ToDo items to be included in the action plan.  NOTE: See the ToDo Items page for instructions on how to complete each field.
  5. Click the ADD NEW RECORD button to save the record.  If additional items are to be added, repeat step 4.
  6. When completed, click theReturn to ActionPlans button to return to the ActionPlans list.
  7. Close the ActionPlans window.

What is an ActionPlan?

ActionPlans provide the ability to add multiple ToDo items quickly to the ToDo list.

For example: Let’s say that every time you add a new referral, you always create 3 ToDo items:

1) a Referral Confirmation to the Contact

2) an Incoming Info Sheet to the Assigned Agt and

3) you set up an AutoUpdate form to repeat every 30 days to the agent. 

 ActionPlans would allow you to create an Action Plan (a series of To Do’s) that you would call “New Referral”, for example.  Then, when you create a new referral, you would click on the To Do link, then click a button labeled ACTIONPLANS, select the “New Referral”, then click the SUBMIT button and those 3 items get added to the ToDo list.

Can I create my own custom form?

Yes.  When you open the Forms link you will see a column titled “Is Body of Letter used?”  Any form with a blue check-mark next to in that column allows you to type your own custom letter to be sent out as that form.

The easiest and quickest way to create a Body of Letter is to follow these steps:

  1. Open the Forms Link
  2. Open the Look Up Body Of Letter link located in the upper-left-hand corner
  3. Click the RED ADD new button
  4. Now type your letter in MS Word
  5. When you are done click Save As and select Web Page
  6. Now open that document and COPY and PASTE the contents into the Body of Letter page
  7. Click the ADD NEW RECORD button at the bottom of the screen

You have created the contents of your custom form.

Now you can set up an ActionPlan or a ToDo that uses that Body Of Letter and send it off to your desired audience.

***Note:  The reason we use MS word is because there is some HTML code involved.  If you do not save the contents into web form 1st and just paste the contents into the Body Of Letter, the letter will not appear as you want it to.

Can I apply an ActionPlan to more than one record at once?

Absolutely!  First make sure you have created the ActionPlan you want to use.  Then follow these easy steps:

  1. On the Main Referral Page Press the blue SEARCH button at the top of the page
  2. Locate the records you are wanting to add the ActionPlan to
  3. When the referrals are displayed click on the ToDo link on the left-hand side of the page
  4. Click the View The ActionPlans box
  5. Next select your ActionPlan
  6. At the bottom of the page click the 2nd box that reads

                                        Add this 1 Action Plan Item to the ‘To Do List’ for ALL XXX Referrals  based on this Search Filter
