Images Option; Add Client and Agent Pictures

By now you have probably noticed the three new fields in the Referrals List page used for storing images of the agent(s) and the client.  These are because of the newly enhanced Images option.

The Relocation Specialist Images option has been used to “go paperless”.  It allows you to upload images of scanned contracts, BMAs, Word docs, PDF files or any file you want to associate with a referral record.  The Images option now includes the ability to upload pictures of Clients and/or Agents for use with outgoing forms.  So now when you want to send the updated ‘Client Notification of Agent’ form it will now include a picture of the agent along with the other agent details like Name, Email Address, Website, etc.

And, when you want to include a picture of your Client/Transferee with the new, simplified ‘Outgoing Information Sheet-F‘ you can!  This new form is a great way to send only the information needed for an outgoing referral.  And, it now may also include a picture of the client!

Add Agent’s Website and Include It With Email to Client

You may now enter the agent’s website address in the Agents table and have it added to the Referral record when using the handy ‘Lookup’ link in the Referrals List page. This will work for Referring Agents or Assigned Agents.

And, when sending the FORM named ‘Client Notification of Agent’ the agent’s website address will be included along with the other contact information in the email!

Document When an Agent Rejects a Referral

Need to keep track of the times when an agent rejects a referral? Many of you have used the Agents Notes table to enter the information, however now it is easier to enter and is more specific.

To record when the agent rejects a referral, click the AGENTS link on the left side of the Referrals List page, select the agent and click the ‘View Notes’ button.  The (Agents) Notes page will open.  Click ADD NEW and you’ll see two new fields, [Disposition] and [Description].  For the Disposition field you have a droplist with choices of “Accepted” or “Rejected”.  For the Description field you have another droplist with the following choices, “Price”, “Vacation”, “Too busy”, “Did not answer”, “Location” or “Referral Type”.

The option to add to the Agents Notes table is also on the ‘Lookup’ page that you use to find the agent to assign; Referring Agent or Assigned Agent.  So, if you already have one agent as the Assigned Agent but need to assign a different one, using the ‘Lookup’ page you can find the first agent add the “Rejected” note, then find the replacement agent, click the button and bingo, the new agent is in place and the previous agent has the “Rejected” note added!

Soon, the Agents Notes will be added to the Agent Scorecard reports so that you’ll be able to see the results for the agent within the date range along with the number of times the agent rejected a referral opportunity and the reason.

Process Checked Items in Responses Page

You asked for it. You got it! In the beginning you could review the Responses page and click the button to “process” all the records you could see on the page.  (“Process” basically means that ReloSpec moves the records to the Notes table for each individual referral record.)

Then, we added the ability to process the records one at a time.  This has been a popular feature but many have asked for things to be faster!

Now, when viewing the items in the Responses page, just click the checkbox for each record you want to have processed.  Then, click the button at the bottom of the page that says “Process the CHECKED entries ONLY”.  Each of the items you checked will be processed, leaving the others you want to leave in the list.  You may process as many as you like at any time!

Now you can quickly process the ones you want and leave the others for further review.  Enjoy.

Automatic Note When Sending Forms Manually

For those of you who are sending forms manually and need a note entered that documents what was sent and when, ReloSpec has the answer.  That is, for two forms to begin with.  In the past we have always recommended using the AutoPilot to send forms so that ReloSpec would document what was sent and when.  And, using an Action Plan is still the fastest way to insert a new AutoPilot item, even if it is for just one item.

But now, when you click FORMS, and select either the ‘Accounting Sheet Details’ or the ‘Outgoing Information Sheet w/Ack’, ReloSpec will insert a note into the Referral record with Who sent which Form to Whom.  All you do is open the form, insert an email address and SEND!

It is possible we will add this feature to more forms as they are requested.  Please let a member of the ReloSpec Team know if there are additional forms that should be considered to have this additional feature.

Wondering where those Responses went? (Send to Notes feature)

Are your agents telling you they’re submitting their responses to your update requests but they’re not in the Responses table? It is likely they’re already in the Notes!

A new feature allows you to send most responses that are submitted from the AutoUpdate form,  and other similar forms directly to the Notes table.  In the Users table there is a field labeled ”Send Updates directly to Notes?  (by-pass the Responses page)”.  By setting this field to YES, then all responses from the AutoUpdate forms will be inserted into the Notes table.

This feature is most often used by people who want to look in one place for all the latest notes on a particular record.  With this feature set to YES then you’ll be able to just open the Notes page to view activity and not need to also open the Responses page to see if there is anything waiting there for that client.

New ‘Find Dups’ button in Referrals List page

The ‘Find Dups’ (Find Duplicate records) button has been added to the navigation buttons on the Referrals List page. This new button is used to find possible duplicate records to the selected record in the grid.  Here’s how to use it:

  1. Select a record in the Referrals List grid
  2. Click the ‘Find Dups’ button.  A new page opens and displays the possible duplicate records.  The results grid includes the ReferralsID number which may be used to quickly locate that record in the Referrals List page.

This feature compares 3 different groupings of fields.  First it combines the Client First and Last Names, and compares that to all records.  Second it looks for duplicate phone numbers in any combination of the Home, Work and Cell Phone numbers.  Last, it looks for any duplication of the Email Address.  If any of those 3 categories has a match it will be listed in the results page.
