How To Navigate ReloSpec Reports?

Reports, reports, reports.  ReloSpec has many reports, and it is sometimes hard to find the one you want.  Because of continuing requests the number has grown and made finding the right report more difficult.

Over time we have tried to identify records by the report name, which works most of the time but not always.  And, sometimes the same report may work for different needs.

What to do?  We are working on a totally new approach to ReloSpec reports.  Whereas in the past you would navigate the reports mostly by name only, we now are working on groupings of reports by categories.  For example, there is an ‘Agent Reports’ page listing an abbreviated list of the most popular reports for agents.  Another for ‘Offices’ and so on.

But, we need your help.  This project is only just getting started and the final result will be based on input from you.  There are two general areas.

  1. What categories of reports should be have?
  2. Within each category, what specific reports are needed?

To get you started we have added a beginning page on the ReloSpec Main Menu.  At the very bottom of the page is a link labeled “reports”.  Click the link and you’ll see what has been started.  The idea is to get those creative juices flowing, so let us know your thoughts/suggestions.

We want to make ReloSpec Reports a positive feature again and your input will help us get there sooner.  We look forward to hearing from you.

New Report: Scorecard – Opportunities by Agent

We’re very excited about a new report that provides more information about your agent’s performance.  The Advanced report name is ‘Scorecard – Opportunities by Agent’ and is listed in your REPORTS page.

Why this new report?  You have always been able to generate a report based on referral records where the agent was assigned and stayed assigned.  But that is not always what happens.  If the Assigned Agent was changed to another agent you weren’t able to track what happened with the original agent.  Now you can, and it is all done for you automatically!

THIS IS A VERY BIG DEAL!  Each time you assign an agent, a new Note is added to the Agents Notes table (not the Referrals Notes table).  The [Disposition] is entered as “Assigned” and ReloSpec knows to which referral record.  Once the agent accepts the assignment using one of the ‘AutoAssign’ forms, in addition to everything else, ReloSpec adds an Agents Notes record noting that it was “Accepted”.  Or, if the agent rejects the assignment, we track that along with the reason given by the agent!

So, now when the agent asks you why you don’t assign anything to him/her, you can run this new report and have ALL the results at your fingertips!

Click here to view a sample of this new report.  Notice it displays all Agents Notes and the disposition for each.  They are grouped by Referral record number, Client Last Name and Transaction Address.  You may run the report for any date range.  (Year-to-date is the default)

NOTE: ReloSpec began creating the Agents Notes this morning, so it will take a few days or weeks to build up the data needed for your report.  But, it is all in progress now and you didn’t have to do a thing!

Report Update: Scorecard-Summary for Offices, Agents

Many of you reviewed the new Advanced ‘Scorecard – Summary’ report and let us know you appreciate the clean look and the ability to get results quickly.

However, a few of you have not been able to use the original report due to a large number of agents in your Agents table.  When selecting “All Agents” in the droplist there were too many for the report to process properly.

The original report is now two reports; the ‘Scorecard – Summary by Office’ and the ‘Scorecard – Summary by Agent’.  When you want to see results for one or more Offices choose the ‘…by Office’ version and when you want a report with one or more agents (not all agents) use the ‘…by Agent’ version.

Both reports group by Office(s), then Agents and will expand horizontally to display your unique Referral Status totals for each agent with one line per agent in a concise easy-to-read report.

New Report: Scorecard – Summary

Are you looking for a report that provides a summary of referrals assigned to a specific agent or office?  The new ‘Scorecard – Summary’ report may be just what you need.  Here are some of the features of this report:

  1. It allows you to filter for any Date Range.  Notice that the date range is for all records received or sent and does not filter for Closed Date.  You only see records sent or received for your agent within the date range.
  2. You may filter for one specific agent or all agents within one specific Office or all offices.  If you want all the agents within an office or set of offices, select ALL from the Agent droplist then select only the Office(s) you want.
  3. The report will accommodate whatever Referral Status settings you are using.  The report will expand automatically to include the Status settings used during the date range.
  4. It also includes Sale Price totals and averages, Difference and averages between List and Sale prices as well as Difference and averages between BMA and Sale Price
  5. The report is a summary and displays just one line per agent.  Very concise!

It is likely that once this report is viewed there will be requests for new variations.  Please review it and let us know how we can help you.

Training Seminars and New Open Training Classes

There is still time to sharpen your ReloSpec skills this year!  Four new web seminars have been scheduled, plus two new Open Training Classes.

The web seminars will be held on Tuesdays and Thursdays next week at 11:00 and 2:00 Central time.  The Open Training Classes are on Tuesday the 13th at 11:00 or Thursday the 15th at 2:00 Central.  The Open Training Class is different from our seminars.  Topics will be decided by those attending the class.  Attendees will be able to ask questions directly and can hear and respond to answers.

Getting the most from your ReloSpec: REPORTS

At some point, after entering all those referral records you’re going to want to produce some reports.  This blog will help you understand your choices with reports.  ReloSpec report categories and features as shown on the REPORTS page are listed below.

  • Most Popular;  When you click the radio button for ‘Most Popular’ in the upper-left of the REPORTS page a listing of the most popular ReloSpec reports will be displayed.  These reports are selected for you by the ReloSpec Team and are always subject to change.
  • My Favorites;  Clicking the ‘My Favorites’ button will display the reports you have designated in the SETTINGS page.  They are unique to your database and may be edited at any time by you.  When you first start with ReloSpec there are certain default reports that are displayed.
  • All Reports;  By clicking the ‘All Reports’ button, all ReloSpec reports will be displayed.
  • Advanced;  Advanced reports allow you to filter using droplists and calendars and produce “pretty” reports that may be downloaded to Excel, or exported to a PDF or MS Word format.
  • Standard; The Standard reports are more simple but sometimes have more flexible filtering.  Results are displayed in rows and columns without grouping (like Advanced reports), and Standard reports may be downloaded to Excel.
  • Miscellaneous; These reports have special uses and are not generally used to produce “regular” reports.

There are a few special features with ReloSpec reports in addition to the categories above.

  • Activity reports start with “Activity…” in the report name and are used to display all activities within a date range.  They typically include Incoming/Outgoing/Other records that came in or went out or were Closed no matter when they came in.
  • Closed reports start with “Closed…” in the report name and display records that were closed within the date range.
  • Scorecard reports start with “Scorecard…” in the report name and display records for a specific Agent or Office.
  • Scheduled reports are certain reports which ReloSpec automatically sends to agents or Office Managers as scheduled in advance.  Upon receiving the email, the agent or manager can click a link in the email and view in Read-Only mode records pertaining ONLY to them.  You select which report you want sent to whom and when.  ReloSpec does the rest!  A ReloSpec Team member can help you arrange for Scheduled Reports.
  • Custom Financial Report is a special report that allows you to select the fields you want, filter the records and sort the results.  It is a great report for quickly finding the data you want.

Getting the most from your ReloSpec: NEEDS ANALYSIS FORM

Many of you are using the Referral Submit Form to allow your agents and contacts to submit new referrals directly into your database.  The agent clicks a link on your company website or from your ReloSpec Email Signature, completes the online form and clicks SUBMIT.  ReloSpec accepts the referral into your Import table and sends an email to let you know it is there.

Now there is a special Referral Submit form your clients may use to submit their own referral.  It is the Referral Submit Form – Needs Analysis and is listed in your FORMS page.  There are some significant differences with this new form.

  1. When you email the Needs Analysis form to the client it comes in the form of a personal letter and contains your ReloSpec Email Signature.
  2. You may specify your own Body Of Letter to be included with the letter if the brief instruction is not enough.
  3. If sending it manually, you may add your own text that will appear at the top of the email.
  4. The email letter contains a link that when clicked will open the Needs Analysis form for the client to submit.
  5. When it is submitted ReloSpec will send a notification email to the address for the “Referral Submit Form” user in your Users table.

There are many fields in the Needs Analysis form that are not found in ReloSpec.  For those items that don’t already have a field, a brief description and the client’s input is added to the Client Comments field and would be included in the Agent Assignment and other ReloSpec forms sent to agents and contacts.

Getting the most from your ReloSpec: EXPRESS LINKS

We often hear ReloSpec users say, “I know it could do more for me, but I don’t have the time to learn how”.  Use the Express links on the Main Menu page and let ReloSpec do things automatically!

The greatest advantage to using the Express ‘Incoming’ or ‘Outgoing’ referral form is that you choose the Action Plan before clicking SUBMIT and ReloSpec does the rest!  It selects the Tasks to be done and if they’re due today it automatically sends the AutoPilots!  Just fill out the form, select the Action Plan and SUBMIT.  Easy and FAST!

Plus, the Express links include a list of AutoPilots due to go out, and a list of Responses coming in.  Want it more automatic?  Let a member of the ReloSpec Team know you want your AutoPilots sent for you.  We’ll add your name to the list of people whose AutoPilots get sent each morning.  You don’t even need to login!

And, for Responses, if you want, you can have all your responses go automatically to the Notes table.  Then, when you select a record in the Client List page you’ll see ALL notes and not have to also check to see if there is an update waiting in the Responses table.  You can turn this feature on or off in the Settings, Users page.
