ReloSpec Emails, etc.

Since moving to our new cloud servers, we have improved security, reliability and response times.  We’re all happy for the improvements.  However, not everyone has had improved performance with emails sent from ReloSpec.  A small number of customers were having trouble getting the emails delivered.  Until now.

This morning the last of the expected changes were made for emails being sent from ReloSpec.  In the past you may have noticed the FROM field had “info@prosws.com” included.  That proved to be a temporary fix for ensuring the email would be delivered.  And, the REPLY TO field had the sender’s email address.  The idea is that if the recipient clicked the REPLY button, the email would be sent to whoever generated the first email.

Now, the sender’s email address is inserted into the FROM and the REPLY TO fields and all emails are being delivered.

Turn Browser AutoFill OFF

From time to time we hear complaints about users getting to a certain field (like Client State or Zip Code) and all of a sudden ReloSpec seems to stop.  Why would ReloSpec choose that field to stop letting you enter information?

ReloSpec is NOT doing that.  It is  your browser!!!

The ‘AutoFill’ is a browser feature that constantly tries to automatically fill-in a field with information you have typed previously.  The problem is that if you have AutoFill for Forms turned ON, the browser may take a very long time to figure out what to enter for you.

So, turn OFF (or un-check) the AutoFill for Forms.

For Internet Explorer, do the following:

  1. Click the gear for settings in the upper-right
  2. Click ‘Internet Options’
  3. Click the ‘Content’ tab and in the AutoComplete section click ‘Settings’
  4. Un-check the box for FORMS; click OK, click OK

For Google Chrome, do the following:

  1. At the top right, click More More and then Settings
  2. At the bottom, click Show advanced settings
  3. Under “Passwords and forms,” uncheck “Enable Autofill to fill out web forms in a single click.”

For Mozilla Firefox, do the following:

  1. Click the Menu button  New Fx Menu and choose Options.Preferences.
  2. Select the Privacy panel
  3. In the drop-down menu next to Firefox will:, choose Use custom settings for history.
  4. Remove the check mark next to Remember search and form history.
  5. Close the about:preferences page. Any changes you’ve made will automatically be saved.

Updated Reports and Browsers

As you may know we have been doing a lot of work lately with the way reports are found and displayed.  Reaction to the new REPORTS format has been great!  It makes it much easier for new ReloSpec users to find the report they need while the more experienced users can click the ‘VIEW ALL REPORTS’ button to see all the reports they’re used to seeing.

Today we’re announcing that small updates such as adding the ‘Agent Requested’ and ‘Agent Generated’ fields to the ‘Scorecard – Agent’ report (soon) will be made first to those reports included in the new groupings of reports in the REPORTS page.

In addition, we’re happy to announce that the ReloSpec reports are now supported in the following browsers:

  • Internet Explorer (IE)
  • Google Chrome
  • Mozilla Firefox
  • Apple Safari

You may view the entire, unrestricted report in the browser of your choice.

How To Navigate ReloSpec Reports?

Reports, reports, reports.  ReloSpec has many reports, and it is sometimes hard to find the one you want.  Because of continuing requests the number has grown and made finding the right report more difficult.

Over time we have tried to identify records by the report name, which works most of the time but not always.  And, sometimes the same report may work for different needs.

What to do?  We are working on a totally new approach to ReloSpec reports.  Whereas in the past you would navigate the reports mostly by name only, we now are working on groupings of reports by categories.  For example, there is an ‘Agent Reports’ page listing an abbreviated list of the most popular reports for agents.  Another for ‘Offices’ and so on.

But, we need your help.  This project is only just getting started and the final result will be based on input from you.  There are two general areas.

  1. What categories of reports should be have?
  2. Within each category, what specific reports are needed?

To get you started we have added a beginning page on the ReloSpec Main Menu.  At the very bottom of the page is a link labeled “reports”.  Click the link and you’ll see what has been started.  The idea is to get those creative juices flowing, so let us know your thoughts/suggestions.

We want to make ReloSpec Reports a positive feature again and your input will help us get there sooner.  We look forward to hearing from you.

We have updated our website, which is at www.ReloSoftware.com  So, why would you go to the website if you already use ReloSpec?  Simple.  There is a good chance there are ReloSpec features you don’t know about or aren’t using.  And, using the feature(s) would help you save time and simplify your life!

Getting the most from your ReloSpec: REPORTS

At some point, after entering all those referral records you’re going to want to produce some reports.  This blog will help you understand your choices with reports.  ReloSpec report categories and features as shown on the REPORTS page are listed below.

  • Most Popular;  When you click the radio button for ‘Most Popular’ in the upper-left of the REPORTS page a listing of the most popular ReloSpec reports will be displayed.  These reports are selected for you by the ReloSpec Team and are always subject to change.
  • My Favorites;  Clicking the ‘My Favorites’ button will display the reports you have designated in the SETTINGS page.  They are unique to your database and may be edited at any time by you.  When you first start with ReloSpec there are certain default reports that are displayed.
  • All Reports;  By clicking the ‘All Reports’ button, all ReloSpec reports will be displayed.
  • Advanced;  Advanced reports allow you to filter using droplists and calendars and produce “pretty” reports that may be downloaded to Excel, or exported to a PDF or MS Word format.
  • Standard; The Standard reports are more simple but sometimes have more flexible filtering.  Results are displayed in rows and columns without grouping (like Advanced reports), and Standard reports may be downloaded to Excel.
  • Miscellaneous; These reports have special uses and are not generally used to produce “regular” reports.

There are a few special features with ReloSpec reports in addition to the categories above.

  • Activity reports start with “Activity…” in the report name and are used to display all activities within a date range.  They typically include Incoming/Outgoing/Other records that came in or went out or were Closed no matter when they came in.
  • Closed reports start with “Closed…” in the report name and display records that were closed within the date range.
  • Scorecard reports start with “Scorecard…” in the report name and display records for a specific Agent or Office.
  • Scheduled reports are certain reports which ReloSpec automatically sends to agents or Office Managers as scheduled in advance.  Upon receiving the email, the agent or manager can click a link in the email and view in Read-Only mode records pertaining ONLY to them.  You select which report you want sent to whom and when.  ReloSpec does the rest!  A ReloSpec Team member can help you arrange for Scheduled Reports.
  • Custom Financial Report is a special report that allows you to select the fields you want, filter the records and sort the results.  It is a great report for quickly finding the data you want.

Getting the most from your ReloSpec: REFERRAL SUBMIT FORM

This is the first in a series of blogs designed to help you get the most out of your Relocation Specialist (ReloSpec) software.  Today we’re looking at the Referral Submit Form.

This handy form can make life easier for you in so many ways!  Why re-enter new referral records when they can be submitted to you by someone else?  The following are a few ways that the Referral Submit Form may be used:

  1. Want to have others like contacts and agents submit referrals to you?  Include a link to the online form in your Email Signature.  This can be setup with just a few clicks.  From the Main Menu, click SETTINGS, USERS, click the pencil on your name, then in the Email Signature field click the Auto-Create button and OK.  Your email signature is created for you including a link labeled “Click here to Submit a Referral”.  Whenever  someone clicks the link and submits the form, the referral is received in your ReloSpec IMPORT table.  This link even includes your own name, so the incoming referral is assigned to you.
  2. Want to generate more outgoing leads?  Include the link that is in your Email Signature on your company’s website.  Next time an agent lists a home for someone moving outside your area, encourage them to click the link and submit the referral online.
  3. Or, if the link isn’t on your company’s website, you can always select the ‘Referral Submit Form’ in the FORMS page and email it to the agent.  He/she can submit the form and you receive it in your Import table.
  4. Coming soon…  We are developing the ‘Needs Analysis’ form that your clients can submit online.  Think of it as a Referral Submit form for the client, but with much more specific information.  When you have a client who wants to submit their own page with their needs/wants you’ll be able to receive it in the Import table and assign the appropriate agent.  Watch for an announcement soon on the Needs Analysis form.

Guest Database Now Available

Sending broker-to-broker referrals?  You already know about the SEND button and how you can send b-2-b referrals to other ReloSpec users.  By using the SEND button you put a copy of your referral in the other database.  When the agent is assigned or the Status changes or a number of other settings change your record will be updated automatically!

But, what if the other broker doesn’t use ReloSpec?  Now you can send it to them too!  By using the SEND button ReloSpec will look to see if you have already identified the other broker’s ReloSpec database name.  If not, it will assume you’ll send it to the GUEST database.  The name “GUEST” will appear in the SEND page.  Just click ‘Send’ and a copy of the record is in the other broker’s Guest database.

The other broker will automatically receive an email notifying them the record has been sent along with a link to http://www.MyReloSpec.com and the ID and Password they’ll use to access their record(s).  If other ReloSpec users send referrals to the same broker that broker will still only have one ID/Password to use to view ALL the records.

Why use the GUEST database?

  • It provides instant Read-Only access to the client details
  • The broker can read the (Public) Notes for the client
  • The broker can use the ‘Send Update’ button to keep you up-to-date.  (Goes to your Responses page!)
  • There is nothing for you to setup for the other broker!  It’s all automatic.
  • There is no cost for you or the other broker to use it!
  • Referrals may be sent anywhere in the world.  Soon, all pages associated with the GUEST database will be available in over 90 languages using the Google Translate(TM) function

At A Glance; Records To Be Sent

A new link has been added to the At A Glance box on the Client List page.  This new link displays the number of records for which you used the ‘Lookup from Brokers Using ReloSpec’ or the ‘Lookup HSF Affiliate’ (for exclusive use of HSF Affiliates) and yet have not used the SEND button to send the record to the other broker.

Note for HSF Affiliates: Using the SEND button is the only way you will receive credit for sending a referral to another HSF affiliate.

As a review, using the SEND button is great for the sender and the receiver.  For the sender it means that a copy of your referral will be inserted into the other broker’s database and synchronized with your own.  Any changes made to the record such as Assigned Agent, Status and other settings will update automatically in your database!  For the receiver it means not re-entering any of the client details and knowing that changes you make will automatically update the sender’s database!

This new link will be display only if you have any un-sent referrals.  Clicking the new link will filter the Client List page and display only those records that haven’t been sent.

So, what happens if you have a record that was set up to send, but you changed your mind and don’t ever want to send it?  Just select the record, click the SEND button then click the button that says, “I no longer want to send this client now or in the future”.  Clicking the button will remove the referral record from the list of un-sent records.
