ReloSpec Express Training Seminars this Thursday

Now that the ReloSpec Express features have been released you may want to take advantage of the Basic and Advanced Training Seminars scheduled for this Thursday.  The Basic seminar is at 11:00AM Central time, and the Advanced seminar is at Noon Central time.

Entering Outgoing and Incoming referrals, and accepting referrals from your Import page just got a LOT easier and faster with the new ReloSpec Express. Learn the Ins and Outs of this new feature.

And, then, once you know how to put in a referral, learn some of the features and shortcuts that will take you a few steps further in automating your ReloSpec.

ReloSpec Express Expanded to Import Page

The new ReloSpec Express links were introduced last week and the response has been tremendous!  ReloSpec users are using the new Incoming and Outgoing Express pages to quickly insert new records, apply Action Plans, send AutoPilots and send broker-to-broker referrals to other ReloSpec users – All in one quick, easy step.

Now the Express features have been expanded to the Import page.  When you receive referrals from people using the Referral Submit form, or from other brokers or from your website or wherever, you’ll instantly know the number of records for you to review.  The Express link labeled ‘Accept Incoming Referrals’ will display the total number of records in the Import table.

Click the link and you’ll see the record(s).  Now, click the SELECT button and the record will appear in an Express Incoming page.  There  you can select an agent, assign an Action Plan or update the record as needed.  When you’re ready, click the ACCEPT button and the record is moved to the Referrals table, the Action Plan is run and the AutoPilots are sent!  Quick and easy!

The Express links are all found on the Main Menu (Landing) page.  They’re designed to help you get new referrals handled quickly without making multiple ‘stops’ to select the Action Plan, send AutoPilots, etc.

NOTE: When you login, if you are taking immediately to the Client List page and the AutoPilot page is opened for you, you may be missing the Express links altogether.  The reason this happens is because you have that option selected in the Users table.  If you want to stay at the Main Menu page and access the Express links, go to the SETTINGS page, click USERS, select your user name, click the pencil and change the setting for ‘Display AutoPilots upon Login’ to NO.  Then, when you login you’ll remain at the new Main Menu page with the Express links.

ReloSpec Express Has Arrived

Entering Outgoing and Incoming referrals, and accepting referrals from your Import page just got a LOT easier and faster with the new ReloSpec Express features.  With ‘Express’ you pass right by the multiple stops for Action Plans, AutoPilots and the SEND button and complete the tasks in one step!

All Express features are available right on the Main Menu page.  Just login and you’ll see the new links.  Click here to see the new Video Training page with the Express Introduction video (4 minutes).

For a new Outgoing referral, just click the link and use the buttons to lookup the Contact and Agent, fill-in the client information and click the SUBMIT button.  ReloSpec will save the record to your database, run the Action Plan, send the AutoPilots and if the record is going to another broker using ReloSpec it will be sent for you.  Click here to see the new Video Training page with the ‘Send Outgoing Referral’ training video (3 minutes).

Starting a new Incoming referral is similar to the Outgoing page.  Just click the link, fill out the form and SUBMIT.  ReloSpec will save the record, run the Action Plan and send the AutoPilots.  Quick and easy!  Click here to see the new Video Training page with the ‘Create Incoming Referral’ training video (3 minutes).

Accepting a referral that was sent to your Import table is quick and easy.  Click the ‘Accept Incoming Referrals’ link to open the updated Import page.  Click the SELECT button on the record you want to accept.  A page similar to the Express Incoming Referral page opens and the fields are filled-in with what was sent to you.  On that same page you can assign an agent if needed and select the Action Plan to be run.  (The ‘Express Incoming’ Action Plan is the default.)  The training video for this feature will be available very soon.  Find it by clicking the ‘Training Videos’ link on the Main Menu page.

From any of the new pages you may use the new default Action Plans for each page or you may select the one you want from the droplist.  Your choice.  The default Action Plans use the new simplified forms for Outgoing and Incoming referrals.

If you choose not to use the Express links on the Main Menu page, all pages you’re used to using are still available by clicking the CLIENTS icon, same as before.  Nothing has been taken away.  New time-saving features have been added.

IMPORTANT NOTE:  The default Action Plans (Express Outgoing and Express Incoming) are also new and need to be loaded in your database for them to be available.

  1. From the Main Menu, click the SETTINGS icon
  2. Click ‘Get Standard Action Plans’ in the right column
  3. Click the START button at the bottom of the page, scroll down the page and click the CLOSE button when it appears.
  4. All standard Action Plans will be loaded for you.  If you already have an Action Plan with the same name as the standard Action Plan, ReloSpec will skip over that one and import only the one(s) you are missing.

ReloSpec Express coming soon

Get there faster and easier with ReloSpec Express.  Today we are announcing ReloSpec Express and plan to have it available within the next couple weeks.

We’re very excited about these new features.  You may never use ReloSpec the same way again!

ReloSpec Express is a set of tools that will help you complete everyday tasks in much less time.  Think of it as riding the express train and bypassing stops to get to your destination faster!  Imagine completing new outgoing referrals in a fraction of the time it takes now.  Accepting Incoming referrals will be quick and easy.

Imagine clicking a link from the Main Menu page, fill out a form and have ReloSpec execute an Action Plan, send the AutoPilots and SEND the record to the other broker all automatically.  You just fill out the form and the rest is done for you!

If you want to continue using the Standard ReloSpec features and make decisions at each stop you can.  Or you can use the Express forms and complete the tasks much faster.

The ReloSpec Express features will be available to all ReloSpec users at no additional cost.  We’ll let you know when it is available.  Get ready to ‘board the Express’ very soon.

Introducing the ReloSpec Assistant

Today we are introducing the ReloSpec Assistant.  It is one of our most powerful features and is available today.

The Assistant is a development tool that automates ReloSpec functions and runs 24/7.  You do not need to be logged into ReloSpec for the Assistant to be working for you.

Here is an example of how the Assistant is working for a ReloSpec customer.  From the customer’s website a client clicks a link to open a ‘landing page’.  The client fills out the online form and clicks SUBMIT.  From that point the Assistant does the following:

  • Decides which area the client is interested in and assigns the next agent in that area.  The agent receives a text message and an email.
  • The agent has 5 minutes to accept the lead.  If the agent does not accept the lead, the Assistant selects the next (2nd) agent and starts the process over.
  • The assistant waits another 5 minutes and if not accepted assigns the lead to a 3rd agent.  If the 3rd agent doesn’t respond in time the lead is assigned to the office coordinator.
  • The assistant documents each step with the new lead as well as updating the Notes for each individual agent.
  • Once the lead is accepted, another series of steps are performed such as sending emails to clients and scheduling update requests with the agent.

Think of the Assistant as your own personal assistant that is watching your database and responding when certain events are triggered.  We expect there will be a wide variety of events the Assistant will perform depending on your specific needs.

Pricing for the Assistant is $400 per year plus the time required to build your specific tasks.  The hourly rate is $140.  Though the price may appear high to some, the price should be compared with the cost of a person performing the tasks versus the Assistant being ‘on call’ 24/7.

Popular Webinar: New AP Button and Synchronized Records

We had such a great response to the first webinar we did last week, we’re going to repeat it for those who missed out.  Please join us next Tuesday, September 8th!  The webinar will cover two very important topics; the new AP button and the synchronizing of records between ReloSpec databases.

Action Plans have been proven to save tons of time when managing records in your Client List.  Recently the AP button was added to the grid and the Action Plans feature has been enhanced.  The webinar will help you understand how to setup and use this time-saving feature.

There has been much discussion lately on synchronizing records between ReloSpec users.  People avoid re-entering data and they receive updates automatically from broker to broker referrals.  During the webinar we’ll discuss this new feature and how to make it work for you.

New USAA Forms Available

This announcement is for ReloSpec customers who are members of Cartus.

Effective today there are two newly updated USAA forms which reflect the change to the USAA Real Estate Rewards program.  The two new ReloSpec forms are the ‘USAA Welcome Letter’ and the ‘USAA Thank You Letter’.  These two forms include the wording suggested by Cartus.

Be aware that the previous form names ‘USAA 1st Letter to Member’, ‘USAA 3 Mo Letter to Member’ and ‘USAA 3 Wk Letter to Member’ have been revised and are still available in ReloSpec.  The ‘USAA 1st Letter to Member’ and the ‘USAA Thank you letter’ are the same form.  Many already have the older forms in their Action Plans and will not need to update your Action Plan settings to use the newly updated forms.

The new Cartus forms are worded so as to apply to both buyer and sellers which is why there are not two versions of the Welcome and Thank You letters.

Synchronized Records Enhanced

Earlier this week we announced the Synchronized Records feature and the responses have been great!  Now you can search for ‘Brokers Using ReloSpec’ and use the SEND button to insert the record into the other database.  But, even better, the two records are synchronized so that when the agent is assigned, then you and the Referring Agent will know about it.  When the Status changes or when there are changes to the Transaction Address, Est Close Date, Est Sale Price, Close Date or the Sale Price your record will be updated automatically.

Another new, related feature has been added to the Client List page.  Below the grid you’ll see the status of the record with regard to synchronizing with another database.  One of three messages will appear.  They are:

This record has not been synched with another database

-or-

This record HAS NOT YET BEEN SYNCHED with the database: [DATABASE NAME]

-or-

This record has been synched with the database: [DATABASE NAME]

So, by checking the ‘Synch Status’ below the grid, or as displayed in the General Information section after clicking the pencil to edit, you’ll know whether the record has been sent to another database.  In addition once the record has been sent ReloSpec will insert a Note so you’ll know the Date/Time it was sent!

 

Be Sure To Update Your ‘Brokers Using ReloSpec’ Page

In order for other brokers to find you, the ‘Brokers Using ReloSpec’ page must be updated.  You are responsible for entering the Cities you serve in the page.  From the Main Menu page, click SETTINGS, then click the link for ‘Brokers Using ReloSpec’.  Enter your information there so other brokers can find you!

After Selecting the Other Broker, Use the SEND Button

Once you have used the ‘Brokers Using ReloSpec’ from the Client List page, be sure to click the SEND button to actually send it.  ReloSpec won’t send the record until you are ready.  Once you click the SEND button the other broker’s database name will appear in the page.  Just click the SEND button and the record will be sent.

Friday Update: Color Codes, Ref Submit, Action Plans & AP button

Welcome to another Friday update, where we highlight a few of the recent upgrades to ReloSpec.

First, a quick fix for the Color Codes on the Tickler page.  Some time ago we expanded the number of available Color Codes for the Client List page, but somehow neglected to make the same expansion to the Tickler page.  That has been fixed.  Now whatever colors are selected (if any) in the Client List page will be reflected on the Tickler page.

Second, an enhancement to the Referral Submit page.  When a new referral is submitted the default for the Referral Status is “Active”.  That’s just one less step to do when processing new referrals.

Third: Action Plans.  Much work has been done with Action Plans lately.  Here is the description we used in a blog last March:

[Action Plans] assign pre-recorded tasks quickly to your referral, and free up hours of your time. For example, let’s say each time you add a new ‘In-Buy’ there are certain tasks you commonly do such as send the AutoAssign form to the agent and schedule your update requests. As soon as ReloSpec sees you have added the new ‘In-Buy’ record it will prompt you to ask if you want to add the tasks from the Action Plan. Click YES and it’s done automatically.

We also introduced the ‘Add Sample Action Plans’ button to the Settings page which allows you to quickly add whatever standard Action Plans you may be missing in your database.  Today we’re announcing two additional items that are part of the standard Action Plans.  They are ‘In-Buy / Active’ and ‘In-List / Active’.  Clicking the ‘Add Sample Action Plans’ will add these two new ones to your Action Plans table making them available for use under those specific situations (ie. Type = “In-Buy” and Status = “Active”).  Clicking the button will not duplicate what is already there.  When you click the button ReloSpec checks to see if you already have the Action Plan and if you do it skips to the next one.  If you don’t it will add it.  Action to take: From the Main Menu, click Settings, click ‘Add Sample Action Plans’

Last (for today) is the new AP button that appears on the Client List page in the ‘Quick’ column.  We have had the ‘Quick Notes’ button there for a long time which allows you to quickly add a formatted note for the selected referral.  Now below the ‘N’ there is another button with “AP” on it, which stands for Action Plan.  When you click the button, ReloSpec will look at the Referral Type and Status for the selected record and display the corresponding Action Plan for the record.  For example, if you have a record where the Type = “In-Buy” and the Status = “Active” then that Action Plan is displayed.  Just click the ‘Click here to COPY…’ button and the Action Plan Items are added to the record.

The new AP button is a great way to add quickly the Action Plan Items from Action Plans matching the Type and Status for your record.

Action Plans Help Streamline the Process

By now, many of you know the power of using Action Plans. They assign pre-recorded tasks quickly to your referral, and free up hours of your time. For example, let’s say each time you add a new ‘In-Buy’ there are certain tasks you commonly do such as send the AutoAssign form to the agent and schedule your update requests. As soon as ReloSpec sees you have added the new ‘In-Buy’ record it will prompt you to ask if you want to add the tasks from the Action Plan. Click YES and it’s done automatically.

But there are a number of ReloSpec users who haven’t created the Action Plans to take advantage of this feature.

Beginning later this week, there will be a new button in the Settings page labeled “Add Sample Action Plans”.  When you click the button, it checks to see if you have Action Plans for In-Buy, In-List, Out-Buy and Out-List. If you do, then nothing is done. What you have will not be replaced. But, if you don’t then ReloSpec will insert them for you.

Note: New ReloSpec databases will have the Action Plans already loaded.

The effect will be that when you add new records ReloSpec will prompt you to use the commonly used tasks for that referral type. You can say YES use them or NO don’t. Your choice.

There are even Action Plans for a change in Status. When a record is updated to ‘Pending’ or ‘Closed’ for In-Buy or In-List, another Action Plan will pop up that provide important reminders.

You may change (customize) the Action Plan Items at any time while in the Action Plans page.  Or you may rename them or delete them and not have them pop up.

We hope your use of Action Plans will save you time as you add needed tasks.
