Client Notification form with Agent Image

You have probably noticed when you click the pencil in the Client List page there is a small box for the Agent’s image (picture).  This field is available for use by those ReloSpec users who have the ‘Images’ option.

Unlike the ability to upload files in your SETTINGS page for use with emails, the Images option allows you to upload files/images/spreadsheets or whatever and store them with the Client List record.  Recently we expanded the ability to upload images for Agents, Contacts and Vendors.  When you upload an image for an agent, then select that agent from the ‘Lookup’ page the agent’s image is saved with that record.

Once you have the agent’s image stored in the Client List record you can click FORMS and send either the ‘Client Notification of Agent’ for buyers or the ‘Client Notification of Agent 2’ for Sellers.  The client will receive a short email with the agent’s details including the image.

Updated AutoConfirm form; New ‘Activity Summary 3’ report

Two new items are being highlighted in this blog.  The AutoConfirm form has been updated with new functionality, and there is a new ‘Activity Summary 3’ report we wanted to introduce.

The ‘AutoConfirm’ form is now “smarter”.  This form is often used to send get commitment from the receiving broker when you have an ‘outgoing’ referral.  The form is emailed to the Contact, the Contact clicks the link in the body of the email and answers YES or NO to accepting the referral.  What’s new are 4 fields the Contact may use to enter the Assigned Agent’s First Name, Last Name, Phone and Email.  Upon submitting the form the new fields are inserted into the Responses table and when you ‘process’ the response the assigned agent’s information is inserted into your referral record.

Note that if the Contact enters information into any of the four fields, all the fields must have data in them.  If none of the agent fields have any data in them, the form may be submitted as before.  Also, if the Contact supplies the assigned agent information the data will always replace whatever may already be in the referral record for the assigned agent.  But, in most if not all cases, you won’t have the assigned agent information until the Contact responds.  This new feature means that you won’t need to re-enter the assigned agent information.

The new report ‘Activity Summary 3’ is now available.  This report provides counts of the total records within categories on a single page.  Categories include total Buyers and Sellers for Incoming and Outgoing as well as Pending and those that went ‘Dead’ within the date range.  It is a great way to get a snapshot of your total business for the week, month, year or any date range you select.

To get the totals in most cases the Date Received/Sent field is used.  For the Pending records the Status = ‘Pending’ is used regardless of dates.  For Closed records the Actual Close Date field is used.  For Listings the List Date field is used and for the ‘Dead’ records the Dead Date field is used.  Click here to see a sample of this report.

ReloSpec Express Has Arrived

Entering Outgoing and Incoming referrals, and accepting referrals from your Import page just got a LOT easier and faster with the new ReloSpec Express features.  With ‘Express’ you pass right by the multiple stops for Action Plans, AutoPilots and the SEND button and complete the tasks in one step!

All Express features are available right on the Main Menu page.  Just login and you’ll see the new links.  Click here to see the new Video Training page with the Express Introduction video (4 minutes).

For a new Outgoing referral, just click the link and use the buttons to lookup the Contact and Agent, fill-in the client information and click the SUBMIT button.  ReloSpec will save the record to your database, run the Action Plan, send the AutoPilots and if the record is going to another broker using ReloSpec it will be sent for you.  Click here to see the new Video Training page with the ‘Send Outgoing Referral’ training video (3 minutes).

Starting a new Incoming referral is similar to the Outgoing page.  Just click the link, fill out the form and SUBMIT.  ReloSpec will save the record, run the Action Plan and send the AutoPilots.  Quick and easy!  Click here to see the new Video Training page with the ‘Create Incoming Referral’ training video (3 minutes).

Accepting a referral that was sent to your Import table is quick and easy.  Click the ‘Accept Incoming Referrals’ link to open the updated Import page.  Click the SELECT button on the record you want to accept.  A page similar to the Express Incoming Referral page opens and the fields are filled-in with what was sent to you.  On that same page you can assign an agent if needed and select the Action Plan to be run.  (The ‘Express Incoming’ Action Plan is the default.)  The training video for this feature will be available very soon.  Find it by clicking the ‘Training Videos’ link on the Main Menu page.

From any of the new pages you may use the new default Action Plans for each page or you may select the one you want from the droplist.  Your choice.  The default Action Plans use the new simplified forms for Outgoing and Incoming referrals.

If you choose not to use the Express links on the Main Menu page, all pages you’re used to using are still available by clicking the CLIENTS icon, same as before.  Nothing has been taken away.  New time-saving features have been added.

IMPORTANT NOTE:  The default Action Plans (Express Outgoing and Express Incoming) are also new and need to be loaded in your database for them to be available.

  1. From the Main Menu, click the SETTINGS icon
  2. Click ‘Get Standard Action Plans’ in the right column
  3. Click the START button at the bottom of the page, scroll down the page and click the CLOSE button when it appears.
  4. All standard Action Plans will be loaded for you.  If you already have an Action Plan with the same name as the standard Action Plan, ReloSpec will skip over that one and import only the one(s) you are missing.

ReloSpec Express coming soon

Get there faster and easier with ReloSpec Express.  Today we are announcing ReloSpec Express and plan to have it available within the next couple weeks.

We’re very excited about these new features.  You may never use ReloSpec the same way again!

ReloSpec Express is a set of tools that will help you complete everyday tasks in much less time.  Think of it as riding the express train and bypassing stops to get to your destination faster!  Imagine completing new outgoing referrals in a fraction of the time it takes now.  Accepting Incoming referrals will be quick and easy.

Imagine clicking a link from the Main Menu page, fill out a form and have ReloSpec execute an Action Plan, send the AutoPilots and SEND the record to the other broker all automatically.  You just fill out the form and the rest is done for you!

If you want to continue using the Standard ReloSpec features and make decisions at each stop you can.  Or you can use the Express forms and complete the tasks much faster.

The ReloSpec Express features will be available to all ReloSpec users at no additional cost.  We’ll let you know when it is available.  Get ready to ‘board the Express’ very soon.

New Form: AutoAssign7

Do you need to send an assignment to the agent and show the Referral Fee 1 Percent and the amount of increase for the agent?  Use the AutoAssign7 form to do this.

Let’s say you want to show the agent that the Referral Fee Percent is 30% and there will be an increase of $100 up-charged to the agent.  Enter “.30” in the Referral Fee 1 Percent field in the Closing Page and enter “100” in the Referral Fee 3 Amount field.  When you open/send the AutoAssign7 form they will be formatted properly and display as “30% plus $100”.

There are many versions of the AutoAssign forms.  Open the FORMS page, click the ‘All Forms’ radio button and review to see which are best for your needs.

ReloSpec FORMS and Favorite Forms

It is now much easier to add a FORM to your list of ‘Favorites’.  As you know when you click the FORMS link on the Client List page the Forms page is opened and the ‘Favorites’ radio button is selected at the top of the page.  In the past the only way to add a form to the list of ‘Favorites’ was to close the page, return to the Main Menu, click Settings, Favorite Forms then add the one(s) you wanted.

Now, to add a form to the list of Favorites, click the ‘All Forms’ radio button and click the green ‘Add to Favorites’ button in the right column.  That form is instantly added to your list.  Quick and easy!

A few of our ReloSpec customers were not able to view the form names in the FORMS page this morning due to the programming for that page taking a little longer than expected to complete.  All should be working properly now.

Watch for this same feature to be added to the REPORTS page soon.

New: Referral Submit Form for INCOMING

The Referral Submit Form has been a great way for agents and others to submit leads directly to ReloSpec for Outgoing referrals.  Once the person completing the form clicks SUBMIT, a new record is inserted into the ReloSpec Import table and the Relocation Director receives an email letting them know the lead is there.  (To receive the email notice, add a new user in your Settings, Users table name “Referral Submit Form” and add  your email address in the Email field.  You may have multiple email addresses if you separate them with a semicolon.)

Many ReloSpec users include a link in their email signature that says something like “I Love Referrals” or “Send Me Your Referrals” and when someone clicks the link the Referral Submit Form opens.  The person completes the online form and clicks SUBMIT.  And others have included a link on their website so that when an agent clicks the link the form opens.

Now, there is a slightly different version of the Referral Submit Form for Incoming referrals.  The name of the form is ‘Referral Submit Form-Incoming’.  The primary differences with this new page are the  choices in the droplist for Referral Type, which is limited to “Incoming Buyer”, “Incoming Listing” or “Registered Customer”, as well as some field label changes.

We have some catching up to do…

There are a number of things that have been added in the last few weeks. Below are a few items listed by subject.

New Forms
Client Follow-up 10
We have had the Client Follow-up letters before, but this new form is oriented to the seller and has slightly different language than the ‘Client Follow-up 9’ form. It is used to check back with the client to confirm all is okay.
Outgoing Information Sheet-G
This new form does not include the Referral Fee Percent and is similar to ‘Outgoing Information Sheet-E’, except it does not include the Notes.

AutoAssign forms Now Update the AgentsNotes table
As you know when we send the ‘AutoAssign’ form to the agent can say YES I accept or NO I don’t accept. There are two important changes in the AutoAssign form, soon to be in all the other ‘AutoAssign…’ forms. If the agent clicks NO there is a drop list of choices for why the agent is saying NO and the agent must select one of the choices. They can no longer just say ‘no’ without a reason.

The other change is that when the resulting Response record is processed, in addition to inserting the response into the Notes table for the referral it also inserts the response along with reason why they said ‘no’ into the AgentsNotes table.

Yes, there is a separate table that stores notes just for a particular agent. Whenever the agent is assigned to a referral in Client List page or they respond using a ReloSpec form, a record of it is inserted into the AgentsNotes table. And those notes will soon be added to the Scorecard-Agents reports. So, when the agents complain about not getting referrals you can review with them their recent past of attempts to make assignments and the results. These agent’s notes are totally separate from the notes for the referrals.

And Speaking of Agents Notes…
Did you know that you can keep separate notes for individual agents?  Yes!  In addition to having ReloSpec add notes on assignments automatically, you can add as many notes as often as needed.  Open the Agents table, click the EDIT NOTES button at the bottom of the page and add whatever is needed.

ReloSpec Facelift Is Coming Soon

Perhaps by now you have noticed the new icon buttons on the Relocation Specialist Main Menu page. We hope you like the new look!

Similar icon changes will soon be viewed on the Clients page (used to be called “Referrals List”) and most related pages such as Notes, Tasks (used to be “To Do” and now labeled “Tasks (To Do)”, and others.  And, there are also changes coming for the Utility Settings (now labeled “Settings”) page.

The Clients page now combines the First and Last Names for the Client, Assigned Agent, Referring Agent and the Contact so that less room is used to display a separate First Name field.  These are for display purposes only.  The records have not been changed.

Also, the Transaction Address has been moved to follow the Client Name field in the grid and the radio buttons at the top of the page, which are no longer needed, have been removed for a ‘cleaner’ look.

Another change you’ll notice soon is that the links on the left side of the Clients Page have been rearranged with those relating to a selected record in the grid in the first group and other more general links in the second group.  ToolTips (messages about the link) have been added for each link of the left side and for the icons at the top of the Clients page.

You still have the option of changing your Theme so that you can use different color combinations.  There are currently ten (10!) different Themes (color combinations) to choose from.  To select one, from the Main Menu page, click ‘Settings’, ‘Users’, select your name, click the pencil, and on the right column use the droplist to choose your Theme.  You can click the ‘View Samples’ page to see the various color combinations.

If you want a sneak peak at the new icons that are coming for the Clients page (and most other pages), select the ‘Ultra’ Theme in the Users table, return to the Main Menu page, Logout and log back in.
