Document When an Agent Rejects a Referral

Need to keep track of the times when an agent rejects a referral? Many of you have used the Agents Notes table to enter the information, however now it is easier to enter and is more specific.

To record when the agent rejects a referral, click the AGENTS link on the left side of the Referrals List page, select the agent and click the ‘View Notes’ button.  The (Agents) Notes page will open.  Click ADD NEW and you’ll see two new fields, [Disposition] and [Description].  For the Disposition field you have a droplist with choices of “Accepted” or “Rejected”.  For the Description field you have another droplist with the following choices, “Price”, “Vacation”, “Too busy”, “Did not answer”, “Location” or “Referral Type”.

The option to add to the Agents Notes table is also on the ‘Lookup’ page that you use to find the agent to assign; Referring Agent or Assigned Agent.  So, if you already have one agent as the Assigned Agent but need to assign a different one, using the ‘Lookup’ page you can find the first agent add the “Rejected” note, then find the replacement agent, click the button and bingo, the new agent is in place and the previous agent has the “Rejected” note added!

Soon, the Agents Notes will be added to the Agent Scorecard reports so that you’ll be able to see the results for the agent within the date range along with the number of times the agent rejected a referral opportunity and the reason.

‘Combined Summary’ Report Now Even Better

The reaction to the new ‘Combined Summary’ report has been great! If you haven’t checked out this new Advanced report you should. It can save you a lot of time gathering the information you need.

And now, it’s even better.  The Conversion Percent has been added to the Year-To-Date section of the report so now you’ll instantly see the total number sent/received, the total number closed and the Conversion Percent.

In addition, a fourth grouping of results for “Buyer”, “Seller” and “Renter” is now shown in the Year-To-Date section for sent/received and for sales.

New ‘Combined Summary’ Report Now Available

Looking for a “go to” report that combines multiple details into one concise, easy-to-use report?  After getting input from many ReloSpec customers we have created the ‘Combined Summary’ report. This valuable Advanced report displays a summary of records received and closed for the current week as compared to Year-To-Date results.

The first section shows records received/sent this week grouped by Office, a separate grouping of the same records by Referral Type and another Grouping by Category/Affinity.  Then, in the same group, records that closed this week with three groupings; Office, Referral Type and Category/Affinity.

The second section show the same groupings as the first section but this time showing Year-T0-Date.  The third section lists all ‘Pending’ records.

Each of the individual groupings has a little “+” sign that allows you to drill down for more detail if desired.  And, users may filter the records by changing date ranges for the week or the year, Referral Type, Referral Status, Subtype, MgrConsultant, or Office.

Enhancements for ‘Custom Financial Report’

Many Relocation Specialist users have appreciated the Standard report known as the ‘Custom Financial Report’.  This popular report allows you to select the fields you want included, filter them, then download the records to an Excel spreadsheet.

In the past each individual user has been able to save up to four different selections of fields using the radio buttons at the top of the report.  Now, you can save up to ten (10) different combinations of fields and you’re able to name each report!  Just follow these simple steps:

  1. Click the radio button you want to use
  2. Enter a name for the report and click the ‘Save Report Name’ button
  3. Click the checkboxes for the fields you want and click the ‘Generate a Report…’ button to save your selections

Report Images Help with Report Selection

For years, ReloSpec has had a growing number of great reports.  There are Standard and Advanced reports and many variations of each.  The good news is that the variations make it easy to have the report you need with the fields, filters and components you want.  The bad news is that, especially for people new to ReloSpec, with so many it is difficult to find the report(s) you need.

The REPORTS page now displays an image of the report in the right-had column.  And, if the image is difficult to read, you click the image and view the sample report in a larger format.  Over the next few days we’ll be adding an image for each of the Advanced reports.  There are more than 80 of them today.

The REPORTS page still includes a separate ‘View Sample’ link in the second column which will open a full PDF version of the report.  So, if the sample report has multiple pages you’ll still be able to view all pages if you want to.  And, you can still click the ‘Add to Favorites’ link and add the selected report to your list of Favorites.
