Images Option; Add Client and Agent Pictures

By now you have probably noticed the three new fields in the Referrals List page used for storing images of the agent(s) and the client.  These are because of the newly enhanced Images option.

The Relocation Specialist Images option has been used to “go paperless”.  It allows you to upload images of scanned contracts, BMAs, Word docs, PDF files or any file you want to associate with a referral record.  The Images option now includes the ability to upload pictures of Clients and/or Agents for use with outgoing forms.  So now when you want to send the updated ‘Client Notification of Agent’ form it will now include a picture of the agent along with the other agent details like Name, Email Address, Website, etc.

And, when you want to include a picture of your Client/Transferee with the new, simplified ‘Outgoing Information Sheet-F‘ you can!  This new form is a great way to send only the information needed for an outgoing referral.  And, it now may also include a picture of the client!

Web Seminar Schedule Is Updated

Add Agent’s Website and Include It With Email to Client

You may now enter the agent’s website address in the Agents table and have it added to the Referral record when using the handy ‘Lookup’ link in the Referrals List page. This will work for Referring Agents or Assigned Agents.

And, when sending the FORM named ‘Client Notification of Agent’ the agent’s website address will be included along with the other contact information in the email!

Automatic Note When Sending Forms Manually

For those of you who are sending forms manually and need a note entered that documents what was sent and when, ReloSpec has the answer.  That is, for two forms to begin with.  In the past we have always recommended using the AutoPilot to send forms so that ReloSpec would document what was sent and when.  And, using an Action Plan is still the fastest way to insert a new AutoPilot item, even if it is for just one item.

But now, when you click FORMS, and select either the ‘Accounting Sheet Details’ or the ‘Outgoing Information Sheet w/Ack’, ReloSpec will insert a note into the Referral record with Who sent which Form to Whom.  All you do is open the form, insert an email address and SEND!

It is possible we will add this feature to more forms as they are requested.  Please let a member of the ReloSpec Team know if there are additional forms that should be considered to have this additional feature.

Emails, Emails, Emails

This has been an interesting week for emails sent from Relocation Specialist (ReloSpec).  All ReloSpec emails sent to correct email addresses have been delivered.  That’s the good news.  The not-so-good news is that in some cases ReloSpec added “info@prosws.com” to the FROM field of the email in order for it to be delivered.  There was no problem with this unless the receiver clicked the REPLY button and the email was sent to info@prosws.com.  New code has been completed to fix the problem.

Why are some of my emails routed through info@prosws.com?

As explained above, some of the emails sent before the new code was implemented had info@prosws.com inserted in the FROM field.  If the receiver clicked the REPLY button, the email went back to the ReloSpec server.  All such emails were Forwarded to the correct email address.  This was a temporary fix that was permanently corrected with the new code.  We will continue to Forward emails from people who are taking more time to respond, though no new emails will be affected.

Will my emails be sent to Yahoo, Gmail or AOL without the info@prosws.com?

Yes, with one limited exception.  All ReloSpec emails will be delivered to all addresses including Yahoo, Gmail and AOL without a change in the FROM field.  This means that whoever receives the email can click the REPLY button and send the email directly back to you at your email server.

The exception is if your email address as recorded in the Email field in the ReloSpec Users table is a Yahoo, Gmail or AOL account AND the email is being sent to a Yahoo, Gmail or AOL account.  In those limited cases, your email will have the info@prosws.com added to the FROM field so that it may get delivered.

Do I need to do anything in ReloSpec?

No.  Not unless you are one of the limited few who have “@yahoo.com” or “@gmail.com” or “@aol.com” in your ReloSpec Email address, and even if you do, it will only affect you if you’re sending email to another Yahoo, Gmail or AOL account.  If you cannot use an alternate email address, please let a ReloSpec Support person know and we’ll help you find an alternate email account.

Cartus 1st Two Weeks Forms Now Available

For those ReloSpec customers who are members of the Cartus Network, you’ll want to know that the two new forms ‘1st Two Weeks LST’ and ‘1st Two Weeks HF’ are now in the ReloSpec FORMS page.  These two forms are variations of the ‘Monthly’ forms and have new form names assigned to them.  This means that if you use the Action Plans feature to send forms to your agents you’ll want to update the Action Plan Items to include the new ‘Two Weeks’ forms rather than the ‘Monthly’ ones.

The ‘Monthly’ forms will remain in ReloSpec for the foreseeable future, though Cartus wants you to begin using the new ones beginning February 3rd.
