Report Update: Scorecard-Summary for Offices, Agents

Many of you reviewed the new Advanced ‘Scorecard – Summary’ report and let us know you appreciate the clean look and the ability to get results quickly.

However, a few of you have not been able to use the original report due to a large number of agents in your Agents table.  When selecting “All Agents” in the droplist there were too many for the report to process properly.

The original report is now two reports; the ‘Scorecard – Summary by Office’ and the ‘Scorecard – Summary by Agent’.  When you want to see results for one or more Offices choose the ‘…by Office’ version and when you want a report with one or more agents (not all agents) use the ‘…by Agent’ version.

Both reports group by Office(s), then Agents and will expand horizontally to display your unique Referral Status totals for each agent with one line per agent in a concise easy-to-read report.

New Report: Scorecard – Summary

Are you looking for a report that provides a summary of referrals assigned to a specific agent or office?  The new ‘Scorecard – Summary’ report may be just what you need.  Here are some of the features of this report:

  1. It allows you to filter for any Date Range.  Notice that the date range is for all records received or sent and does not filter for Closed Date.  You only see records sent or received for your agent within the date range.
  2. You may filter for one specific agent or all agents within one specific Office or all offices.  If you want all the agents within an office or set of offices, select ALL from the Agent droplist then select only the Office(s) you want.
  3. The report will accommodate whatever Referral Status settings you are using.  The report will expand automatically to include the Status settings used during the date range.
  4. It also includes Sale Price totals and averages, Difference and averages between List and Sale prices as well as Difference and averages between BMA and Sale Price
  5. The report is a summary and displays just one line per agent.  Very concise!

It is likely that once this report is viewed there will be requests for new variations.  Please review it and let us know how we can help you.

Getting the most from your ReloSpec: REPORTS

At some point, after entering all those referral records you’re going to want to produce some reports.  This blog will help you understand your choices with reports.  ReloSpec report categories and features as shown on the REPORTS page are listed below.

  • Most Popular;  When you click the radio button for ‘Most Popular’ in the upper-left of the REPORTS page a listing of the most popular ReloSpec reports will be displayed.  These reports are selected for you by the ReloSpec Team and are always subject to change.
  • My Favorites;  Clicking the ‘My Favorites’ button will display the reports you have designated in the SETTINGS page.  They are unique to your database and may be edited at any time by you.  When you first start with ReloSpec there are certain default reports that are displayed.
  • All Reports;  By clicking the ‘All Reports’ button, all ReloSpec reports will be displayed.
  • Advanced;  Advanced reports allow you to filter using droplists and calendars and produce “pretty” reports that may be downloaded to Excel, or exported to a PDF or MS Word format.
  • Standard; The Standard reports are more simple but sometimes have more flexible filtering.  Results are displayed in rows and columns without grouping (like Advanced reports), and Standard reports may be downloaded to Excel.
  • Miscellaneous; These reports have special uses and are not generally used to produce “regular” reports.

There are a few special features with ReloSpec reports in addition to the categories above.

  • Activity reports start with “Activity…” in the report name and are used to display all activities within a date range.  They typically include Incoming/Outgoing/Other records that came in or went out or were Closed no matter when they came in.
  • Closed reports start with “Closed…” in the report name and display records that were closed within the date range.
  • Scorecard reports start with “Scorecard…” in the report name and display records for a specific Agent or Office.
  • Scheduled reports are certain reports which ReloSpec automatically sends to agents or Office Managers as scheduled in advance.  Upon receiving the email, the agent or manager can click a link in the email and view in Read-Only mode records pertaining ONLY to them.  You select which report you want sent to whom and when.  ReloSpec does the rest!  A ReloSpec Team member can help you arrange for Scheduled Reports.
  • Custom Financial Report is a special report that allows you to select the fields you want, filter the records and sort the results.  It is a great report for quickly finding the data you want.

Updated AutoConfirm form; New ‘Activity Summary 3’ report

Two new items are being highlighted in this blog.  The AutoConfirm form has been updated with new functionality, and there is a new ‘Activity Summary 3’ report we wanted to introduce.

The ‘AutoConfirm’ form is now “smarter”.  This form is often used to send get commitment from the receiving broker when you have an ‘outgoing’ referral.  The form is emailed to the Contact, the Contact clicks the link in the body of the email and answers YES or NO to accepting the referral.  What’s new are 4 fields the Contact may use to enter the Assigned Agent’s First Name, Last Name, Phone and Email.  Upon submitting the form the new fields are inserted into the Responses table and when you ‘process’ the response the assigned agent’s information is inserted into your referral record.

Note that if the Contact enters information into any of the four fields, all the fields must have data in them.  If none of the agent fields have any data in them, the form may be submitted as before.  Also, if the Contact supplies the assigned agent information the data will always replace whatever may already be in the referral record for the assigned agent.  But, in most if not all cases, you won’t have the assigned agent information until the Contact responds.  This new feature means that you won’t need to re-enter the assigned agent information.

The new report ‘Activity Summary 3’ is now available.  This report provides counts of the total records within categories on a single page.  Categories include total Buyers and Sellers for Incoming and Outgoing as well as Pending and those that went ‘Dead’ within the date range.  It is a great way to get a snapshot of your total business for the week, month, year or any date range you select.

To get the totals in most cases the Date Received/Sent field is used.  For the Pending records the Status = ‘Pending’ is used regardless of dates.  For Closed records the Actual Close Date field is used.  For Listings the List Date field is used and for the ‘Dead’ records the Dead Date field is used.  Click here to see a sample of this report.

Agent Performance Review and Scorecard Reports Enhanced

Recently ReloSpec began inserting notes into Agent Notes table.  Whenever an agent is assigned using the ‘Lookup from Agents table’ link, or whenever the agent accepts or rejects one of the AutoAssign form requests or the agent is replaced by another agent a note is added for that particular agent in the Agents table.

You may view the Notes by clicking the AGENTS link on the left side of the Client List page, select an agent and scroll to the bottom of the page.  You may edit the notes by clicking the EDIT NOTES button at the bottom of the Notes grid.

Now the Agent Notes (not the Notes for referrals) are included when you view/print the ‘Scorecard – Agent’ report.  This handy report displays the referrals assigned to the agent grouped by Referral Status, the difference between the BMA and the Sale Price, other details, and now includes the notes for the agent.

In addition the ‘Scorecard – Agent Performance Review’ report has been greatly enhanced.  This report displays only the totals for a large number of categories such as Total Incoming Buyers, Total Incoming Sellers, AGRs, whether or not the agent used the “Preferred Mortgage Company” or not, the “Other Mortgage Company” used when they didn’t use the preferred and other details.  It now includes the Goals for the agent listed next to the results, and the Agent Notes have been added as well.

New Special Training Seminars Available

Over the next couple weeks there are four (4) new Training Seminars that are available.  Next Monday (June 15th) there are two seminars; one at 10:00AM Central time and another noon Central time.  The two seminars are as follows:

  • Reporting – Easy and Fast ways to run reports (at 10:00AM Central)
  • The New Face of ReloSpec – A Review of the Many New Features (at noon Central)

Friday Update

Welcome to the first ‘Friday Update’.  One of the suggestions from a recent Advisory Council meetings was to have a ‘Friday Update’ page to identify all the updates done with the Relocation Specialist software during the last week.

Each week, there are many updates and tweaks that are done with the software.  In the past, most of them were never announced but were often noticed by the more observant users.  We usually blog about the bigger, more noticeable changes, but the ‘Friday Update’ is an attempt to provide a list of all the changes.

There may be subtle changes that you could use that you may not be aware of.  Once you’re aware of them, you may want to use them.  Here is a list of the recent changes, in no particular order.  (Because this is the first ‘Friday Update’ there are a few items from previous weeks.)

  • Images option now allows you to update and store files for Agents and Contacts, independent of Referral records
  • New icons are used throughout the application for all Themes except ‘Classic’.  If you want to change the various color combinations (or ‘Themes’) go to the Settings page, Users, select your name and click UPDATE.  The ‘Theme’ field is on the right column.  You may view sample Themes there so that you can select the right one for you!
  • The Settings page has been rearranged into groups to make it easier to locate the button needed
  • The Clients List (formerly ‘Referrals List’) grid has been rearranged to:
    • Remove the radio buttons at the top of the page (no longer needed)
    • Display Client First Name and Client Last Name in separate columns
    • Combine the Referring and Assigned Agent names into one column  to save space
    • Display the Contact First Name in the Contact Name column
    • Change the layout so that the Email and Text Message icons come after the name(s) to make the names easier to read
    • The links on the left side of the page have been rearranged to include links for a selected Client record in the top group and all others in the bottom group
  • Updated the Agents page to display Notes below the grid (like the Clients page) and the Images below the Notes
  • Updated the Contacts page to display Notes below the grid (like the Clients page) and the Images below the Notes
  • New Report:  ‘Scorecard – Office 5’ was added to remove the Subtype and Color Code, and add the Initiation Date and the Transaction Address
  • New Form: ‘USAA Update Price Quote’ form was added for use by Cartus brokers only.  The link will open the USAA page and when submitted will post the page to USAA

Add Some Color to your Referrals!

Want to add some color to your Referral records? Do you need to expand beyond the standard “Blue”, “Green”, “Red” and “Yellow”? Now you can! Four new colors have been added to the list. They are “Coral”, “Navy”, “Slate” and “Violet”.

You may use the color codes however you like.  Just click the pencil to edit a Referrals List record and select the color code from the droplist at the top of the page.  You may SEARCH by color code, and there is also a report (‘Activity, Grouped by Color Code’) which you may find helpful.
