AutoPilot Items Now May Have Expiration Dates

The AutoPilot is one of the most powerful (and popular!) features of the Relocation Specialist database.  It allows you to enter tasks (ToDo items), then send them automatically when they’re due.  This works well for update requests from agents and contacts, drip email marketing to clients/transferees and other tasks.

Beginning today you have the option of adding an Expiration Date for your AutoPilot items.  In the ToDo page there is a new field for Expiration Date.  This is an optional field, and you may either use the pop-up calendar to select a date or you may enter the date manually (eg. MM/DD/YYYY).  Then, when AutoPilot runs and if the item is set to REPEAT, ReloSpec will calculate the date for the next repeated item as long as the future date is not after the Expiration Date.

The Expiration Date has also been added to the Action Plan Items page.  So, now you can set up tasks to be done in advance and select the number of days into the future that will be the Expiration Date.  In this case you’ll be entering just the number (eg. 60) of days needed.  This is an optional field and is required only if you want to set the Expiration Date in advance.

Popular ‘Live’ Training Seminars are Scheduled

Two ‘live’ on-site Training Seminars have been scheduled for next February.  The two all-day Seminars will be held Monday, February 25th in Las Vegas, then Tuesday, February 26th in Phoenix.  An email announcement is also being sent later today to all Relocation Specialist customers.

The cost is $195/person, and includes a catered lunch.  Times are 9:00AM-4:00PM each day.  The Las Vegas Seminar is just after the RE/MAX conference and just before the LeadingRE conference in Las Vegas.  The Phoenix Seminar is the day before the Cartus International conference in Phoenix.

The agenda for both meetings includes just about anything you wanted to know about the Relocation Specialist software, plus a few things you don’t know.  Included will be a ‘Show & Tell’ (“Best Practices”) from Relocation Specialist users on how they use the database to their advantage.  Please see the email for more Agenda details.  If you did not receive the email and would like more information please contact Jennifer (jennifer@prosws.com) or Sue (sue@prosws.com) for more information.

3 Great New Reports Available; 2 Year Comparisons

Three new ‘Advanced’ reports have been added to the REPORTS page and are available today.  They are:

  • Closed, Grouped by Category/Affinity; 2 Yr Comparison
  • Closed, Grouped by Network/Anagram; 2 Yr Comparison
  • Closed, Grouped by Referral Type; 2 Yr Comparison

When first opened, these three reports display the total number closed and the dollar volume comparing this year to last year, grouped by certain fields.  Click the ‘+’ sign in the report and the number and amounts per Month will be displayed!  Click it again and the you’ll be back to the original report.

Though we call it a “2 Yr Comparison” you can use any Begin and End dates for any two periods.  So, for example, you could compare the current month this year versus the same month last year.  And, as with all Advanced reports you can view the report as a PDF file, save it as a PDF file and email it, or you can drop it into an Excel or Word document.

‘Favorite Forms’ now in AutoPilot and Action Plans

Selecting the ‘Form to send’ when generating a new AutoPilot in the ToDo page just got a lot easier!  Instead of including all 100+ Forms, the droplist now includes ONLY your Favorite Forms.  That makes it much easier to select the one you want.  This same list of Favorite Forms is used when adding a new Action Plan Item in the Action Plans page.

The use of your Favorite Forms is only when ADDing a new record in the AutoPilot (ToDo) record, or the Action Plan Items page.  If you click the pencil to UPDATE a record in either page you’ll have the full list of all available Forms.

To adjust your ‘Favorite Forms’ list, go to the Utility Settings page (from the Main Menu), click ‘Favorite Forms’ and add the ones you want to include.  The list of ‘Favorite Forms’ will be the same for all in your database.  It is not set for individual users.

NEW! ‘View Details’ in the AutoPilot page

The AutoPilot page is one of the greatest time-saving features of the Relocation Specialist database.  It is used to send the emails that are due to be sent as of the current (or future) date as selected by the user.  It is a great way to send those update requests to agents and contacts.

Now there is a new button associated with all records in the AutoPilot page called ‘View Details’.  Let’s say you’re reviewing the AutoPilot page but need to see the Notes or ToDo record or general information for one of the records in the grid.  Now, just click the ‘View Details’ button and you’ll instantly see the details.  After clicking ‘View Details’ the button changes to “Go Back”.  Clicking the button will quickly return you to the “normal” AutoPilot page.

NEW! Delete Multiple Images

The Images option provides a great way to upload and store scanned images, documents and other items with specific Referrals table records.  There are currently two choices with the Images option; Standard and Large Images.  And with the Images option there is an upper limit to the total space available.

Now, to conserve available space there is an easy way to delete multiple images that are no longer needed.  From the Main Menu page, click Utility Settings, then click the link ‘Delete Multiple Images’.  The page opens and allows you to SEARCH for Referrals table records that have images attached to them.  Select the record, and click the scissors (“cut”) next to each image you want to delete.  Clicking the scissors will immediately delete the image without asking for confirmation.  NOTE: There is no un-delete with using the scissors.

Thinking of ‘Going Green’?  For a limited time you can add the Images option and begin going paperless!  Once uploaded, images are available from anywhere on the Internet and may be stored, printed or emailed as needed.  Contact Jim@ReloSoftware.com for more information.
