Action Plans for Multiple Records

Autopilots can be created for a group of referrals.  If you receive a group of referrals and want to wait until they are all entered or imported to set up your autopilots, you can do this through an action plan.

  1.  Set up your action plan to include any autopilots you want to send out, or any ticklers you want for those records.
  2. Use the search feature to search out the group of records you want to add the action plan to.  You can search by date or date range, by referral type or any other common field that those records possess.
  3. Once the search is completed, click on the todo’s and go to your action plans.
  4. Pick the action plan that you want to use for those records that were searched and scroll down to the second “add now” button and click it.
  5. This will add that action plan that you have chosen to all of the records that were in the search group.

Printing Reports, Print Settings

If you want to print a form and it does not print on a single page, a few simple adjustments need to be made. 

  1.  Pull the form up in ReloSpec and go to your tool bar at the top of the page- then press file.  Depending on the version of office that you have, you will do one of the following two things.
    1.  If you press preview and you have a tab that will allow you to change the percentage of your print then you can click on the tab and change the percentage to one that will reduce the print to a single page.  If you have one that says “shrink to fit”, that will automatically adjust it.
    2. If you do not have the tab in the print preview then you should go to page setup under the print option.  Here you can adjust your margins to fit more on a page.  You can go as low at .10 if you need to.

   Once your print options are adjusted they will stay like that for future printing.

My Calendar’s Are Not Working Correctly?

Using Calendars in Relospec

 

In ReloSpec you have the option of clicking the calendar and picking date on the calendar or actually typing in the date that you want to use.

When using the calendar you must have the program JAVA downloaded on your computer.  Java interacts with many internet programs so that you can view and run the sites better. Many computers come with that program already installed.  If your computer does not have Java installed you can  go to the web site www.java.com and download the free copy of Java.  

It is recommended that you keep your java updated and run the latest version of the software.  If you find that your calendar’s were functioning properly but no longer are, please download the latest version of Java.

Relo Spec Will Not Allow Me To Enter A New Referral?

To Enter a New Referral:

  1. Click the Red ‘ADD NEW’ button
  2. Enter the fields as needed. (Not every field needs to be filled-in in order to track your referral.) NOTE: Upon selecting the ‘Referral Type’, the Subtype field will be entered automatically. This assumes you have completed the Subtypes for each Referral Type in the Referral Types table in ‘Utility Settings’. See the ‘Getting Started’ page for more information.
  3. When completed, click the ‘ADD NEW RECORD’ button at the bottom of the page. The record will then be saved and you will be returned to the database grid.

If your Referral is not accepted then most likely you are entering something into a field which goes over the character limit, or is not intended for that field.

 

It’s a matter of identifying which field(s) is giving you the problem. Here are the most common errors:

Text being added to DATE fields such as ‘Date Received’ or ‘Initiation Date’

Text being added to NUMBER fields such as ‘Referral Fee 1’, ‘PriceRange2’, or adding dollar signs ($) or percent signs (%)

Too much text being entered into a field. For example the ‘Firm’ field will accept up 50 characters (including spaces). Anything over that causes errors.

If you still can not determine the area causing the error, then simply enter the information section by section until it gives you the error again, thus identifying the problem area.

How do I forward a Response to the Referring Agent? Can I forward the Response to multiple parties?

When viewing a record in the Responses table you can click the edit pencil next to the “Response” in question.  On the right-hand side of the screen you will see a “field” that says “FORWARD”.  Here you can select from a few options, one of which is the “Referring Agent”.

If there are multiple people to receive the same update, click the blue DROP button, which turns OFF the droplists on the page and manually enter the multiple email addresses separated by a semi-colon.  Click the UPDATE CURRENT RECORD and when processed the results will be forwarded to all addressees.

If you know when setting up a particular referral that the same parties will need to be copied on the replies you can enter multiple email addresses in the Contact Email field of the Referral,select ‘Contact’ in the Forward To droplist and it will go to all addressees.

How do I run a report that will compare two years of information?

If you want to run a report that will compare records from one month of one year to same month for the next year, you need to run the roster report and put in as your received dates for both years. For example 4/1/08 through 4/1/09. Filter out any other fields that you need and download the report to the Relospec file keeping the name the same. (Roster)

Open any report that has “YTD” in the name. 4 boxes will open at the bottom of the page. In the Month Begin Date enter “4/1/2008”. In Month End Date enter “4/30/2008”. In YTD Begin Date enter “4/1/2009” and in YTD End Date enter “4/30/2009” and click PREVIEW.

To compare two years worth of records you and run the dates 1/1/07 through 12/31/08. In the Month Begin Date enter “1/1/07”. In Month End Date enter “12/31/07”. In YTD Begin Date enter “1/1/2008” and in YTD End Date enter “12/31/2008” and click PREVIEW

How do I run a report that covers more than one year?

To run a report that covers more than one year you would pull up Roster report in the reports list. Put in the dates you want to cover (ex: 01/01/08 through 5/1/09) and filter out any other parameters that you need. (type, status, subtype etc). If you want your report in date order, press the date heading on the report screen. Then press filter at the bottom of the screen and download your file to the Relospec file. Keep it the same name (Roster).

Once your file is downloaded you can run any of the reports in the list.

How do I reset my Internet Browser Settings to DEFAULT?

If a particular feature suddenly stops working, or works on another users PC, but not yours…..odds are your browser was either updated, or automatically updated.  Often these changes can prohibit ReloSpec from operating correctly.  In this case we suggest resetting your browser to DEFAULT settings:

While in ReloSpec, click on the menu bar at the top:  Tools, Internet Options, Advanced, reset to Default settings. 

Close browser, open and start over.

Security options, adding an “Access Privilege”

When you add a new user you will see a field call “Access  Privileges“.  Access Privileges are broken down into three levels:

FULL (Default)        Members of this group have access to all areas, including Utility Settings.

MEDIUM        Members of this group have access to everything except the Utility Settings.

LIMITED        Members of this group may not access the Utility Settings, and this group does not have the ADD, DELETE, UPDATE or DOWNLOAD navigation buttons for any of the  Agents or the Contacts pages.  In addition, members of this group may not UPDATE or DELETE any of the Notes once they are entered.

We recommend all users be given FULL access, but we do understand there are situations and circumstances that call for greater control and security and we hope you will find these solutions helpful should you require their use.

Again, “Access Privileges” are located in each User’s Profile in the Users section of the Utility Menu

How do I enter a New Record into ReloSpec using the “Communication Bridge” with Xchange?

  1. When adding a new Referral in Relospec and wanting to sync that referral with Xchange put a check mark in the LeadingRE Sync field on the right hand side of the General Information Section.

LOOKING UP A CONTACT

  1. In the contact section, click the Look-Up by LeadingRE button.  This will take you to a screen in Xchange that will let you choose your contact by state, or LeadingRE member. 
  2. Once this is selected, you can select your coordinator and press “Accept Contact Information and Return to the Referrals Screen”.  The contact fields in ReloSpec will be populated with the contact information.
  3. After all of your information is entered into ReloSpec, press the “add new” button.  While the record is updated into ReloSpec it will also update into Xchange and you will see a “yellow” message at the bottom left hand corner saying “The record was transferred.”
  4. When a note is added into ReloSpec it will also add one into Xchange.  You will see a “yellow” message at the top of the screen saying  “a record is added to Xchange.”
  5. When Closing information is added into ReloSpec a record is also added to Xchange.  You will again, see the “yellow” message saying “1 record was transferred to Xchange.”
