Business Rules Announced

Today we’re announcing the Relocation Specialist Business Rules option.  This exciting option provides automatic programming to your database.  It monitors your data and sends texts, email or both when the data meets certain criteria.  You define what data you want to monitor and who is notified, and Business Rules does the rest!

The Standard Business Rules option includes the following rules:

  • Run AutoPilot Automatically
  • Email/text administrator if there are records in the Import table
  • Email/text Administrator if agent responds that he/she will NOT accept an assignment
  • When agent update request is not answered in a certain amount of time, notify owner to take action
  • Email/text administrator if AutoPilot item is missing the email address
  • When a response is submitted by an agent and marked “Urgent”, automatically text/email the administrator
  • Email/text administrator if LastUpdateDate for an ‘Active’ referral record is > 2 Weeks old
  • Email/text administrator if Referrals table record has no MgrConsultant assigned
  • Email/text Link for up to three (3) Customized Advanced Reports at pre-determined times

The cost of the Business Rules option is $899/year and includes customization of the Standard rules.  Additional rules, if needed may be configured at the rate of $140/hours.

Sample Action Plans for FREE!

Action Plans are a great way to save time and effort while setting up those ToDo tasks including AutoPilots.  But many need a little help getting started.  For those who would like them, there are now 6 standard Action Plan samples that are available for the asking.  The Action Plans include:

  • AutoAssign (for sending Assignments to the agent)
  • AutoAccept (tasks that are done as soon as the agent accepts the assignment)
  • Check in with Client (sends an email to the client in 21 days and another 14 days later)
  • Email Campaign (sets up emails to be sent every 30 days to the client)
  • In-Buy (sends Assignment to agent, Incoming Info Sheet to agent, and adds Update Request that repeats every 14 days)
  • Update Request From Agent (just the Update Request sent every 14 days)

Once the samples are in your Action Plans table you can adjust as needed.  For example, say you want to send the update request every 30 days you can change it.

‘LIVE’ Training Seminars in Las Vegas and Phoenix

Two ‘Live’ Training Seminars have been announced for late February; one in Las Vegas and one in Phoenix.  Here is your chance to meet in person with members of the ReloSpec Team and learn how to do all those cool things you keep hearing about.

And, for those of you who cannot attend in person, the Phoenix Training Seminar sessions will be available over the Internet!  You can attend the morning session (9:00-11:00 Mountain time) or the afternoon session (1:00-3:00 Mountain time) or both!  (Register for either, or both sessions below.)

Free ReloSpec ‘Mobile’ App for Smart Phones and PCs!

The Relocation Specialist (ReloSpec) Mobile App is now better than ever!  Using your smart phone, go to www.ReloSoftware.com and click the ‘Relocation Specialist Login’ link at the top of the page.  If you’re accessing the page from a smart phone, the ‘Mobile’ mode will be automatically selected.  There is no special app to download or install.  Simple and FREE for all ReloSpec users.

The whole look and feel of the ‘Mobile’ mode is cleaner-looking, simpler to navigate and easier to use.  You have access to all the normal features such as AutoPilot, Action Plans, Notes, Closing, Forms and even Reports, plus a couple new ones not available in the Classic (non-Mobile) version.

PC users may select the Mobile ‘Theme’ in the Users table and when using a PC the Mobile version will always be selected automatically without remembering to click the ‘Mobile’ checkbox on the Main Menu page.  It is expected that many PC users will opt for the Mobile Theme (and version) because of the cleaner presentation of data and new options.

The Mobile version works well with PCs, smart pads and smart phones.  If it can connect to the Internet, it will work.  We invite you to check out the new Mobile version of ReloSpec and let us know what you think.

AutoPilot Items Now May Have Expiration Dates

The AutoPilot is one of the most powerful (and popular!) features of the Relocation Specialist database.  It allows you to enter tasks (ToDo items), then send them automatically when they’re due.  This works well for update requests from agents and contacts, drip email marketing to clients/transferees and other tasks.

Beginning today you have the option of adding an Expiration Date for your AutoPilot items.  In the ToDo page there is a new field for Expiration Date.  This is an optional field, and you may either use the pop-up calendar to select a date or you may enter the date manually (eg. MM/DD/YYYY).  Then, when AutoPilot runs and if the item is set to REPEAT, ReloSpec will calculate the date for the next repeated item as long as the future date is not after the Expiration Date.

The Expiration Date has also been added to the Action Plan Items page.  So, now you can set up tasks to be done in advance and select the number of days into the future that will be the Expiration Date.  In this case you’ll be entering just the number (eg. 60) of days needed.  This is an optional field and is required only if you want to set the Expiration Date in advance.

Text Message feature is Enhanced

Exciting new ‘Text Message’ features are now available in your Relocation Specialist (ReloSpec) database!  In the past you have been able to send a Text Message by clicking the FORMS link, browse to ‘Text to Assigned Agent’, complete the text and SEND.  Now it is quicker and easier!  From the Referrals List grid, click the ‘TM’ link in the Assigned Agent Last Name field or the Referring Agent Last Name field and the Text Message page opens with the Text Address already entered.  Once the text has been sent, the text is added to the Notes table automatically!

But, it gets better.  Now you can schedule texts to be sent using Action Plans, and AutoPilot.  Do you want the AutoPilot to send a text to the agent, and schedule it in advance?  Now you can.  New buttons have been added to the Action Plan Items and the ToDo pages so that you can instantly insert the agent’s Text Address, then have AutoPilot send the text on the scheduled date!

All of this assumes you have the agent’s Text Address entered in the Agents table.  You’ll need to know the cell phone number and the service provider.  There is a handy list of service providers in the Agents table UPDATE page.  You’ll be combining the cell number + the service providers address.  For example, if the number is “4025906910” and the provider is AT&T then the Text Address would be 4025906910@txt.att.net.  Then, whenever the agent is selected from the Agents table, the Text Address is copied into the Referrals table record and is available for Action Plans or AutoPilot to use.

‘Favorite Forms’ now in AutoPilot and Action Plans

Selecting the ‘Form to send’ when generating a new AutoPilot in the ToDo page just got a lot easier!  Instead of including all 100+ Forms, the droplist now includes ONLY your Favorite Forms.  That makes it much easier to select the one you want.  This same list of Favorite Forms is used when adding a new Action Plan Item in the Action Plans page.

The use of your Favorite Forms is only when ADDing a new record in the AutoPilot (ToDo) record, or the Action Plan Items page.  If you click the pencil to UPDATE a record in either page you’ll have the full list of all available Forms.

To adjust your ‘Favorite Forms’ list, go to the Utility Settings page (from the Main Menu), click ‘Favorite Forms’ and add the ones you want to include.  The list of ‘Favorite Forms’ will be the same for all in your database.  It is not set for individual users.

New Cartus Forms!

For all members of the Cartus Network: The new ‘Cartus Affinity Monthly HF’ form and the ‘Cartus Affinity Monthly LST’ form are now available in the FORMS page.  They work like the old ‘Cartus New Affinity Bi-Weekly HF’ and ‘…LST’ forms.  Forms are emailed to the agent/contact, the agent clicks the link, completes the form and clicks SUBMIT.  The results of the form are inserted into the Responses page for your review.  And, as with the other Cartus forms, they are formatted in text mode at the bottom of the Responses page for easy copy/paste into Broker Center notes.

But what about all those current AutoPilots that are using the old Bi-Weekly forms?  How to change to the monthly form and change the repeat to 30 days?  Ha!  The ReloSpec Team to the rescue!  A special (Cartus only) button is being added to the Utility Settings page that when clicked will search for all AutoPilot records that are not yet Complete and have the old Bi-Weekly HF or the Bi-Weekly LST page changed to the correct monthly report for HF or LST, and change the ‘Repeat’ time frame to 30 days.  Just click the button and all AutoPilot records will be instantly updated!  (The new button should be there by Thursday, May 17th.)

And while we’re on the subject of Cartus forms, the updated Cartus BMA form is also available.  The name of the form has not changed, but the link that is on the page has been changed.  So, any AutoPilots you have that include the Cartus BMA form do not need to be changed.

The Action Plans that you may have that schedule the Bi-Weekly updates will need to be changed manually.  Select the Action Plan, click the ‘Edit the Action Plan Items’ button, select the record, make the changes and click UPDATE CURRENT RECORD.  Then, all future AutoPilots will include the correct form(s).
