Agent Access Now Available; During March first 5 Licenses FREE

The Agent Access option is now available and during March 2013 your first 5 licenses are FREE.  (Annual Maintenance costs will still apply.)

This exciting option allows your agents to login and have Read-Only access to the records assigned to them.  They may view the Referral records, Notes (that are marked “Public”) and Closing information.  Agents view their records, click the ‘Send Update’ button and the AutoUpdate page opens.  They complete the fields, SUBMIT the form and the results go right into your Responses table.  The advantage is that the agent may select all ‘Actives’ and quickly provide updates for each.

Agents may also click the ‘Add New’ button and the Referral Submit Form opens with the agent information fields already completed.  Once the online form is SUBMITted, the new record is inserted into your Import table and the ReloSpec user is notified that the new record is there.

This option includes special navigation buttons so the agent can quickly ‘View ALL’, ‘View Actives’, ‘View Pending’ and ‘View Closed’.  And, the agent may use the SEARCH button to find any specific record assigned to him/her.

Agents may use their smart phone, tablet, PC or any Internet-ready device to view their records.

Cost is just $20 per agent to get started.  The annual Maintenance is $10 per agent.  If you purchase during March 2013, the first five (5) licenses are free.  For example, if you want 10 of your agents to have Agent Access and you purchase during this month the cost is $100 now ($20 x 5 = $100) and then next year the added Maintenance will be $100 ($10 x 10 = $100).  Quantity discounts may be available.  Contact Jim Evans for more information.

‘LIVE’ Training Seminars in Las Vegas and Phoenix

Two ‘Live’ Training Seminars have been announced for late February; one in Las Vegas and one in Phoenix.  Here is your chance to meet in person with members of the ReloSpec Team and learn how to do all those cool things you keep hearing about.

And, for those of you who cannot attend in person, the Phoenix Training Seminar sessions will be available over the Internet!  You can attend the morning session (9:00-11:00 Mountain time) or the afternoon session (1:00-3:00 Mountain time) or both!  (Register for either, or both sessions below.)

Are You Using the Custom Email Signature Yet?

A few months ago we greatly enhanced your ability to customize each user’s profile, including the ability to create your own Email Signature.  We have converted all Letters that are available in the FORMS page so that they use the Email Signature from the User’s table.

Many have updated their user settings to include images, links to their email address and links to their company web address.  Some have even added a link in the signature to open the Referral Submit Form to allow addressees the ability to submit referrals directly to their database!  Cool!

But many have not yet updated their Email Signature.  Why not?  It is easy to do, doesn’t take much time and you can choose between four different templates to help you get started.  Imagine all emailed letters from your ReloSpec database having a signature that looks like this:

To get started, from the Main Menu page, click ‘Utility Settings’, ‘Users’, select the name and click the pencil to make changes. While you’re there you can change Passwords, choose between nine (9!) different Themes (color combinations) and make other selections to customize your ReloSpec experience.

New FORM Letter for Outgoing Referrals

A new FORM named ‘Outgoing Letter to Assigned Agent’ has been added to the list of FORMS.  This is a form that may be sent to the Assigned Agent for an Outgoing referral.  It includes the Client Name, contact information for the Referring and Assigned Agents, and when the form is sent manually it automatically inserts the email addresses for the Referring and Assigned agents.

NOTE: This new form includes the new Email Signature that is set up in the Users table, so if you haven’t already done so be sure to update that field prior to using this form.  From the Main Menu, click Utility Settings, Users, select your name, click the pencil and update the Email Signature field.  There are sample entries to review.  If you need any help with setting up your Email Signature, please let us know by submitting a Help Desk request.

‘Favorite Forms’ now in AutoPilot and Action Plans

Selecting the ‘Form to send’ when generating a new AutoPilot in the ToDo page just got a lot easier!  Instead of including all 100+ Forms, the droplist now includes ONLY your Favorite Forms.  That makes it much easier to select the one you want.  This same list of Favorite Forms is used when adding a new Action Plan Item in the Action Plans page.

The use of your Favorite Forms is only when ADDing a new record in the AutoPilot (ToDo) record, or the Action Plan Items page.  If you click the pencil to UPDATE a record in either page you’ll have the full list of all available Forms.

To adjust your ‘Favorite Forms’ list, go to the Utility Settings page (from the Main Menu), click ‘Favorite Forms’ and add the ones you want to include.  The list of ‘Favorite Forms’ will be the same for all in your database.  It is not set for individual users.

New PEQ/Survey Field Has Been Added

The PEQ/Survey field has been helpful for tracking the results of a given record.  (PEQ=Performance Evaluation Questionnaire)  Many Relocation Specialist users use the ‘Customer Survey’ form that allows a client to click the link in the emailed form and provide an evaluation of the service provided, which automatically updates the PEQ/Survey field with the ‘overall score’.

Recently Cartus added a second field on which their users are rated.  Therefore, for those users we have added a second PEQ field.  So, for the Cartus users, the first field (PEQ/Survey) is for the Overall score and the PEQ2 field should be used for the PEQ/Agent score.  For non-Cartus users you may also use the second PEQ field as you wish.

The choices available in the droplist for each PEQ field may be edited using the ‘PEQ Items’ link found in the Utility Settings page.

Are you using the Referral Submit Form…in Spanish???

Last week we announced that the Referral Submit Form is now available to all Relocation Specialist users.  Do you know how important this is to you?  You now have the ability to add a link to your website that agents and contacts can use to submit leads/referrals to you!  For FREE!!!

You can also add a link to your email signature that allows email recipients to click the link, fill out the form and SUBMIT.  Bingo!  The lead/referral is instantly in your Import table!

Not only is this a great way to receive leads, but the page is smart enough to automatically adjust for use with smart phones.  So anyone and everyone can easily submit leads to you.

Today we announce another improvement for the Referral Submit Form.  It’s available in Spanish!  Open the same form you’ve been using and you’ll notice at the top-left of the page there is a droplist labeled “Language”.  The default is English, but you can select Español and the page is instantly changed to the Spanish language equivalent.

Referral Submit Form is now FREE!!!

For years the Referral Submit Form has been providing many Relocation Specialist customers an easy, efficient way for agents and contacts to submit referrals.  Today we are announcing that this $300 option is now FREE!

The Referral Submit Form is an online form that may be accessed easily from many sources.  For example, many people add a link somewhere on their website for agents to click.  When clicked the form opens on the Internet, the agent fills it out, clicks SUBMIT and the record is instantly inserted into their database’s Import table.

Others add a link to their email signature so that when others want to provide a referral they just click the link, fill out the form and SUBMIT.  Or, within Relocation Specialist you can email the form that contains the link.  The agent opens the email, clicks the link, completes the form and SUBMITs.

It’s fast, simple and a great way to generate more referrals!

The link you’ll add is: http://rs.prosws.com/RELOSPEC/SQL/ReferralSubmit.asp?Company=DATABASENAME where “DATABASENAME” is the name of your Relocation Specialist database ID.  (It is found on the Referrals List page under the heading “Referrals List”.)  Each link will have two parts; the part that opens the page which is shown above, and the part the agent sees which could be whatever you want such as “Click here to provide a Referral”.

If you want to try it, click the FORMS link on the Referrals List page, browse to ‘Referral Submit Form’, click the link on the form, fill out the Internet page that opens and click SUBMIT.  Close the forms, return to the Referrals List page, click the IMPORT link on the left side or the IMPORT TABLE link in the ‘At A Glance…’ box in the upper-left of the page.  The Import page opens and displays the record.  Click the ‘CLICK HERE’ link in the top box under the grid to move the record from the Import table to the Referrals table.

New Form: Email with Graphics

We have a new form named Email with Graphics which is a form that combines the user’s uploaded files for the Header and the Footer and a custom Body of Letter in between.  So, if a customer wants to send emails that include their Header.jpg file and a Footer.jpg file along with a Body of Letter they can now do it.

Since users will be uploading the Header.jpg and Footer.jpg files to their company’s Images folder, they must purchase the Images option to use this form.

 

Frequently Asked Questions

Does it cost extra to use this new feature?

No.  If you already have the Images (or Large Images) option there is no cost to use the new Email with Graphics Form.  If you don’t have the Images option you may purchase it by contacting info@prosws.com.  More information about the Images option is at http://rs.prosws.com/products_Images.html

 

Can I change the Header.jpg or Footer.jpg images?

Yes.  You may add or delete image files as often as you like.

Do I have to name the image files “Header.jpg” and “Footer.jpg”?

Yes.  The form is looking for files with those names in your company’s Images folder.

Does it matter which Referrals table record I use to upload my Header and Footer images?

No.  You’ll select any Referrals table record, click the Images button and upload the file(s).  The point is to get the file(s) into your company’s Images folder.  Once there the file(s) may be used with any email.

Is there a Training Video available for this new feature?

Yes.  From the Main Menu click ‘Training Videos’, select the link for ‘Building and Using the Email with Graphics form.

Can I view a sample Email with Graphics?

Yes.  Login using DEMO/DEMO for the ID/Password, click Referrals, Forms, click ‘Lookup the Body of Letter’, select one, click ‘Return to Forms list’, browse to ‘Email with Graphics’ and click it.
