Free ReloSpec ‘Mobile’ App for Smart Phones and PCs!

The Relocation Specialist (ReloSpec) Mobile App is now better than ever!  Using your smart phone, go to www.ReloSoftware.com and click the ‘Relocation Specialist Login’ link at the top of the page.  If you’re accessing the page from a smart phone, the ‘Mobile’ mode will be automatically selected.  There is no special app to download or install.  Simple and FREE for all ReloSpec users.

The whole look and feel of the ‘Mobile’ mode is cleaner-looking, simpler to navigate and easier to use.  You have access to all the normal features such as AutoPilot, Action Plans, Notes, Closing, Forms and even Reports, plus a couple new ones not available in the Classic (non-Mobile) version.

PC users may select the Mobile ‘Theme’ in the Users table and when using a PC the Mobile version will always be selected automatically without remembering to click the ‘Mobile’ checkbox on the Main Menu page.  It is expected that many PC users will opt for the Mobile Theme (and version) because of the cleaner presentation of data and new options.

The Mobile version works well with PCs, smart pads and smart phones.  If it can connect to the Internet, it will work.  We invite you to check out the new Mobile version of ReloSpec and let us know what you think.

Are You Using the Custom Email Signature Yet?

A few months ago we greatly enhanced your ability to customize each user’s profile, including the ability to create your own Email Signature.  We have converted all Letters that are available in the FORMS page so that they use the Email Signature from the User’s table.

Many have updated their user settings to include images, links to their email address and links to their company web address.  Some have even added a link in the signature to open the Referral Submit Form to allow addressees the ability to submit referrals directly to their database!  Cool!

But many have not yet updated their Email Signature.  Why not?  It is easy to do, doesn’t take much time and you can choose between four different templates to help you get started.  Imagine all emailed letters from your ReloSpec database having a signature that looks like this:

To get started, from the Main Menu page, click ‘Utility Settings’, ‘Users’, select the name and click the pencil to make changes. While you’re there you can change Passwords, choose between nine (9!) different Themes (color combinations) and make other selections to customize your ReloSpec experience.

AutoPilot Items Now May Have Expiration Dates

The AutoPilot is one of the most powerful (and popular!) features of the Relocation Specialist database.  It allows you to enter tasks (ToDo items), then send them automatically when they’re due.  This works well for update requests from agents and contacts, drip email marketing to clients/transferees and other tasks.

Beginning today you have the option of adding an Expiration Date for your AutoPilot items.  In the ToDo page there is a new field for Expiration Date.  This is an optional field, and you may either use the pop-up calendar to select a date or you may enter the date manually (eg. MM/DD/YYYY).  Then, when AutoPilot runs and if the item is set to REPEAT, ReloSpec will calculate the date for the next repeated item as long as the future date is not after the Expiration Date.

The Expiration Date has also been added to the Action Plan Items page.  So, now you can set up tasks to be done in advance and select the number of days into the future that will be the Expiration Date.  In this case you’ll be entering just the number (eg. 60) of days needed.  This is an optional field and is required only if you want to set the Expiration Date in advance.

New ‘Save To Contacts’ button

You asked for it.  Now you’ve got it!  How many times have you been entering a new Referrals table record and entered a new Contact that you wanted to add to the Contacts table?  You knew the record wasn’t in the Contacts table which meant entering it into the Contacts table first before being able to use it in the ‘Lookup’ pages.

Now the process is much simpler!  After entering the Contact info in the Contacts section of the Referrals List page, click the new ‘Save To Contacts’ button and a new record will be inserted into the Contacts table.  It is simple and very convenient.  Just be sure you’re not adding a duplicate record for one already in the Contacts table.

ReloSpec at Relocation Director’s Council

Once again, Relocation Specialist will help sponsor the meetings at the Relocation Directors Council (RDC).  We’ll be represented at the meetings held Wednesday, October 3, 2012 in Washington, DC.

3 Great New Reports Available; 2 Year Comparisons

Three new ‘Advanced’ reports have been added to the REPORTS page and are available today.  They are:

  • Closed, Grouped by Category/Affinity; 2 Yr Comparison
  • Closed, Grouped by Network/Anagram; 2 Yr Comparison
  • Closed, Grouped by Referral Type; 2 Yr Comparison

When first opened, these three reports display the total number closed and the dollar volume comparing this year to last year, grouped by certain fields.  Click the ‘+’ sign in the report and the number and amounts per Month will be displayed!  Click it again and the you’ll be back to the original report.

Though we call it a “2 Yr Comparison” you can use any Begin and End dates for any two periods.  So, for example, you could compare the current month this year versus the same month last year.  And, as with all Advanced reports you can view the report as a PDF file, save it as a PDF file and email it, or you can drop it into an Excel or Word document.

New Cartus Forms!

For all members of the Cartus Network: The new ‘Cartus Affinity Monthly HF’ form and the ‘Cartus Affinity Monthly LST’ form are now available in the FORMS page.  They work like the old ‘Cartus New Affinity Bi-Weekly HF’ and ‘…LST’ forms.  Forms are emailed to the agent/contact, the agent clicks the link, completes the form and clicks SUBMIT.  The results of the form are inserted into the Responses page for your review.  And, as with the other Cartus forms, they are formatted in text mode at the bottom of the Responses page for easy copy/paste into Broker Center notes.

But what about all those current AutoPilots that are using the old Bi-Weekly forms?  How to change to the monthly form and change the repeat to 30 days?  Ha!  The ReloSpec Team to the rescue!  A special (Cartus only) button is being added to the Utility Settings page that when clicked will search for all AutoPilot records that are not yet Complete and have the old Bi-Weekly HF or the Bi-Weekly LST page changed to the correct monthly report for HF or LST, and change the ‘Repeat’ time frame to 30 days.  Just click the button and all AutoPilot records will be instantly updated!  (The new button should be there by Thursday, May 17th.)

And while we’re on the subject of Cartus forms, the updated Cartus BMA form is also available.  The name of the form has not changed, but the link that is on the page has been changed.  So, any AutoPilots you have that include the Cartus BMA form do not need to be changed.

The Action Plans that you may have that schedule the Bi-Weekly updates will need to be changed manually.  Select the Action Plan, click the ‘Edit the Action Plan Items’ button, select the record, make the changes and click UPDATE CURRENT RECORD.  Then, all future AutoPilots will include the correct form(s).

NEW! ‘View Details’ in the AutoPilot page

The AutoPilot page is one of the greatest time-saving features of the Relocation Specialist database.  It is used to send the emails that are due to be sent as of the current (or future) date as selected by the user.  It is a great way to send those update requests to agents and contacts.

Now there is a new button associated with all records in the AutoPilot page called ‘View Details’.  Let’s say you’re reviewing the AutoPilot page but need to see the Notes or ToDo record or general information for one of the records in the grid.  Now, just click the ‘View Details’ button and you’ll instantly see the details.  After clicking ‘View Details’ the button changes to “Go Back”.  Clicking the button will quickly return you to the “normal” AutoPilot page.

ReloSpec is Getting a Facelift, and You Can Help!

As many of you know, there is now a SmartPhone (Mobile) version of the Relocation Specialist database that extends many of the great features of the database to your mobile device.  There is no additional charge to run the Mobile version.  Just open your Internet browser, go to the Main Menu page and login.

Over the next few weeks we will be updating the Mobile version and intend to make it available for use on desktops as well.  And, we need your help.

The new Mobile version will be have a totally new look and feel for ReloSpec.  It will have a “cleaner and more fresh look”, have a more efficient approach to many features and will help you get more done in a shorter amount of time.  Users will have a choice in the User table settings to run the “Classic” version or the Mobile version.  Even if you’re running Classic on your desktop, when you access your database from your smartphone, it will automatically switch to the “Mobile” version.

Here is your chance to help design the new Mobile version.  Tell us what features are most important to you, or what features you wish you had.  What about the layout of the pages, the colors and what’s included?  What fields or features would you leave out?  If you were to design the perfect database, what would it look like?
